I am the Observations Network Program Coordinator within the Bureau of Meteorology. I have a focus on program finances such as forecasting, accruals, accounts payable, spending delegation, Procurement, travel bookings etc.ACCOMPLISHMENTS• Established User Templates for functional requirements, to enable the easiest possible input requirements for the Project Managers to save them time & avoid complications/mistakes. • Setup an onboarding process for new team members to educate them on Bureau processes & held workshops for initial training.• Created a Help Guide for the Project Managers, outlining the most efficient way to navigate the Bureau's Procurement & Expense Management procedures, explaining how to avoid mistakes which cause delays.• I worked closely with the Finance team on establishing an improved expense approval process. ACCOMPLISHMENTS• Authored and championed a comprehensive Risk/Issue Management Plan to establish clear processes and expectations.• Collaborated with the Bureau Enterprise Risk team as well as peer programs to leverage knowledge, processes, tools and reporting to gain efficiencies and uplift risk/issue management competencies across the Bureau.• Facilitated regular risk/issue workshops at project, stream and program level to enable more effective decision making, prioritisation and mitigation planning.• Successfully completed regular quality assurance of risks/issues to achieve governance and audit standards.• I led an initiative to create a new Program risk report which enabled greater ability to drill down to create more user-relevant reporting.• Following a program restructure I reviewed, consolidated and re-pointed >200 risks/issues into the new structure. This was a critical piece of work for governance and audit purposes, as well as maintaining accuracy and continuity for the program.• Established productive working relationships with the project community to enable effective coaching and guidance managing their risks/issues.• I created Risk and Issue Help Guides to illustrate what quality risk/issues should look like, which led to an uplift in quality and consistency.• Undertook an activity to improve the Project Change Request (PCR) process for the Program.
