- Managed, organized, executed numerous team activities for four (4) Senior Executives, including organizing of all internal and external appointments, meetings (on-sites/offsites), caterings, travel arrangements according to company travel policy and event management of conferences and seminars.- Assisted in major social events on logistic support such as VGE APAC Training Summit with more than 100 participants from both local and international offices. Handled event management on participants attendance and registration process, coordinating closely with the appointed external event agency. Managed all hotel accommodation arrangements and airport transfers international participants and ensure smooth transition from point to point.- Managed and scheduled cost-effective air/hotel/ground transportations for four (4) Senior Executives and their respective sales teams for submission of travel requests. Created detailed travel itineraries both domestic and international, covering different time zones. Coordinated with travel agents and managed international travel processes. Handled all flight bookings with appointed company travel agent, application of travel visa and car hire arrangement for point to point travel.- Coordinated and arranged of customer meetings and internal stakeholder meetings at international level. Coordinated for preparation and timely disseminated of meeting minutes and slides presentations for all meetings.- Quick to react on urgent situations and events that require quick response or turnaround.- Managed all expenses reports inclusive of medical claim, travel expenses and entertainment claims, follow up on the approval of the claims and payment status. Maintained and updated the medical and expense claims reports.- Coordinated closely with internal teams from Marketing, Finance, Recruiting, Facilities, HR, and other Executive Assistants within the organization.- Effectively and efficiently coordinated with different business units.
