• Organizes daily incoming correspondence, making preliminary assessment and handles/ responds as appropriate. • Managing Director diaries and making appointments• Booking room and travel arrangements for BOD , Family and staff• Dealing with incoming email, faxes, and posts• Prepare travel documents including Visa, air plane ticket, hotel, etc• Answers and screens all incoming telephone calls and visitors to BOD, provides/ receives information or refers the matters to the proper persons to handle. • Keeps BOD calendar constantly updated to facilitate appointment and meeting schedules. • Arranges for various meetings for BOD. Prepare correspondence documents for the meetings. • Provide adequate supplies of stationary and ensures that the following forms are used and kept updated at all times:• Travel authorizations for business trips• Ensure the strict confidentiality of information passing through the office. • To take on tasks delegated by BOD.
