• Organizing and maintaining the accounting systems on-board as well primary and secondary budget manager.• Ship’s Personnel – managing leave calendar, travel, payroll, certification and qualifications.• Ship’s Clearance and Official Papers• Guest ConciergeIn more detail:GeneralThe Purser works closely with the Captain in the Ship’s Office as the ship’s administrator.She will answer to the Captain.Her duties consist of but are not limited to the following. Accounting• Data entry and balancing of all the ship’s Cash, Credit Card $ Operating accounts.• Monthly reconciliation of all departmental accounts.• Purchase Orders, invoices and payments.• Monthly re-forecasts budget projections/expense reports.• Annual budget projections.• Charter APA account management and reports. Crew Administration• Compile and update comprehensive and detailed Crew Files. • Crew allowance, per diem, training allowance, expenses and managing the leave calendar. • Ensure that crew always have current and/or necessary visa requirements for visiting countries.• Ensure all crew and guest have necessary inoculations for the visiting countries.• Book all crew travel arrangements.• Ensure crew documents i.e. certificates, medicals, visas and passports are up to date/ Inform crew of expiration dates.Guest Administration• Guest travel arrangements.• Primary assistant/contact for all guest shore side excursions and bookings.Charter Contractor’s Assistant• The primary contact for all Charter Contractors e.g. Fishing guides, Film/Media Crew, National Parks & Wildlife, Scientists, Sub Crew and Helicopter Crew etc. TCaptain’s Assistant• Act as assistant to Captain for general administrative matters. • Organize vessel’s calendar, conference calls, logistics, company reporting, inventory management assistance.• Pre-arrival procedures,prepare documents for customs and immigration.• Assist Chief Officer with admin,and updating Flag and Class surveys file.
