CurrentDocument management• Organize the filing, retrieval of files and documents in order to ensure that they are secure and accessible.• Manage Unit head’s professional profile on website and other academic social media sites.• Work with communications team to update programme, Oxford and other sites with Unit's related content.• Maintain systems and records (i.e. paper flow, database etc.) for project studies and publications for the research team.• Facilitate submission and maintains file of submitted Unit scientific proposals through KEMRI scientific and ethical approval process & notify Principal Investigators in advance when ethical approvals expire.Calendar and travel management.• Maintain the units calendar and schedule of appointments, screen requests for meetings, and synchronize office and personal diaries to ensure that appointments do not overlap.• Coordinate the preparation of both local and international itineraries for team and other external stakeholders, confirm travel bookings and hotel reservations.• Coordinate activities (e.g., conference calls, internal and external meetings) by providing administrative, and logistical support services.Budgeting, procurement and finance related activities• Prepare budgets for meetings, fieldwork and travel for unit staff and field activities. • Maintain inventory of office equipment for the unit and asset disposal list, monitor utilization of consumables and requisition for additional supplies and maintain an overall record of status and allocation of common items to unit staff and hospital sites.General Administrative roles• Carry out clerical duties including preparation of correspondence, taking minutes, typing and circulating them to staff and other stakeholders.• Maintain efficient and effective communication channels between the Head of Unit, staff, and other stakeholders• Maintain updated contact list and event summary for the unit.• Managing leave schedule for all hospital site staff.
