I worked in the Private Office for the CEO of UKRI, a public body which directs research and innovation funding. I was the office assistant and correspondence manager, responsible for all incoming and outgoing communication to and from the CEO.• I extensively corresponded with both internal and external stakeholders. As the main point of contact for the CEO, I dealt with a wide range of people, including internal colleagues, government departments (both domestic and abroad) and members of the public. • I organised the CEO’s speaking events, including commissioning briefing and liaising with event organisers regarding the logistics of the event. I also organised trips abroad which entailed organising the diary as well as booking flights, hotels and taxis.• I worked closely alongside team members to ensure the smooth running of the CEO’s day. I worked collaboratively with the private secretaries to assist them with planning the CEO’s meetings as well as assisting them with any ad hoc duties they need.• I recorded all incoming post and emails onto an Excel spreadsheet, presented them to the CEO and followed her instructions on whether to decline or accept invitations, find another representative to attend, commission responses from various teams or manage complaints through the appropriate channel. I presented the correspondence to my team once a week, where we filtered the items we would be showing to the CEO. I then presented another meeting with the CEO, where I ran through the important correspondence items and recommended a course of action for each. • I analysed all incoming documents for the attention of the CEO and prioritised which files are time sensitive and ensure these are dealt with. • I practiced good record keeping by uploading all incoming and outgoing documents, files, letters etc. to SharePoint. I distributed this link to colleagues, ensuring that nothing of a private or sensitive nature was visible.
