I was the welcoming face and voice of an organization, typically the first point of contact for clients, visitors, and callers. The primary role is to provide exceptional customer service and administrative support while managing various tasks that ensure smooth day-to-day operations. They manage incoming calls, transferring them to the correct individuals or departments and taking messages when necessary. Clear and professional telephone etiquette is crucial in this role. I handled incoming and outgoing mail, emails, and faxes, ensuring that communications reach the intended recipients promptly. I scheduled appointments and meetings maintaining calendars and ensuring that schedules are organized and efficient. I assisted with administrative tasks such as data entry, filing, photocopying, and maintaining office supplies. I Provided excellent customer service is a cornerstone of the receptionist role. This includes assisting visitors and callers courteously and efficiently, addressing inquiries, and resolving issues promptly. I made sure the reception area is tidy, welcoming, and well-organized. This may involve arranging seating, displaying literature or promotional materials, and ensuring that signage is clear and up-to-date.
