A global team delivering service excellence through the real-time port data, coupled with investments in technology, Inchcape provides market and port intelligence that allows customers such as HMM, ZIM, Yang Ming, OOCL, Maersk and CMA-CGM to focus on their core business and make informed decisions• Completing agency appointments for container, tanker and bulk vessels.• Lodging HAZ cargo reports in VIC Ports system.• Setting up vessel appointments within Inchcape’s internal system.• Arranging port services, such as pilots, mooring and tugs via Portview for vessels arriving and departing Melbourne.• Coordinating vessel movements with shipping principals, MEL VTS, pilots, port terminals and masters of vessels.• Lodging customs documentation with Australian Border Force.• Lodging impending arrival reports, actual arrival reports, departure reports and outturn reports in Australian Border Force’s ICS system.• Lodging MARS pre-arrival and ballast water forms via the MARS system on behalf of incoming vessels as a Department of Agriculture requirement.• Arranging crew change documentation with both Australian Border Force and the Department of Agriculture.• Coordinating crew change transfers and accommodation.• Collating cargo manifests for presentation to chief officers upon boarding vessels.• Boarding vessels and retrieving required arrival and departure information from the master or chief officer.• Arranging 3rd party service providers for vessels in relation to any issues that may arise during port stays.• Coordinating bunker fuel oil and lubricant oil supplies for vessels if required.• Sending arrival/departure reports to principals and partners.• Raising and processing purchase orders.

• Inputting export bookings into Mardoc and ediCargowise within KPI timeframes.• Distributing a weekly booking report to the sales team.• Coordinating forwarding instruction deliveries with shippers.• Completing draft Bills of Lading in Mardoc and relevant invoicing in ediCargowise. Once completed forwarding to shipper for approval.• Submitting AMS lodgements for US customs clearance purposes. • Managing equipment flow to and from Australia.• Forecasting equipment requirements via weekly stock reports through Excel spreadsheets.• Repositioning equipment from around the world to Australia as required by communicating equipment requirements directly with our agents worldwide.• Customs clearing empty containers and organising CAL inspections with Australian Border Force.• Coordinating transport container deliveries for both full and empty containers with transport carriers.• Ensuring the maintenance and repair of containers are completed with container depots while monitoring repair estimates that are submitted via EOS reporting system.• Completing monthly long stay container reports and ensuring the longest stay units are used first for export use and evacuated from Australia.• Preparing RF/HAZ manifests and lodgements.• Lodging OOG/HAZ applications for cargo to be loaded on export vessels.• Sending arrival/departure vessel reports to the relevant departments.• Submitting EDNs for vessels departing ports with Australian Border Force.• Training and developing new staff members.
