CurrentKey Responsibilities:Meeting Support: Prepares materials (notices, agendas, minutes) and handles logistics (room setup, catering, scheduling) for Board and Executive Committee meetings. Supports executive staff with committee meetings and coordinates event-related services such as catering and technology.Executive Director Support: Manages the Executive Director’s calendar, travel, appointments, and prepares confidential correspondence. Coordinates travel for national and state meetings and manages logistics for GBAR hospitality events.Office Management: Oversees the day-to-day operations of the association’s suburban office, ensuring a clean environment, managing office supplies, and maintaining equipment.Program Coordination: Promotes and coordinates the Ambassador Program, broker-owner forums, and large broker meetings. Supports the Executive Director’s preparation for speeches and presentations and ensures compliance with core standards and governance regulations.Committee and Event Administration: Assists with the administration of various committees (e.g., Awards, Community Service, RPAC) and events. Coordinates sponsorship acquisition, facilitates meeting logistics, and prepares meeting documents.Financial and Customer Service Support: Manages the budget for meetings, travel, and events. Oversees the collection and processing of continuing education certificates and assists with lockbox and keypad sales. Provides customer service to members and handles administrative tasks related to professional development programs.General Administrative Duties: Maintains organized records, facilitates communication between the Executive Director and staff, and supports other divisional tasks as needed.This role involves high-level organizational skills, multitasking, and the ability to manage sensitive information, making it essential for maintaining smooth operations within the association.
