Responsibilities:• Office Manager o Produce and distribute correspondence memos, letters, faxes, and formso Develop and maintain a filing systemo Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniqueso Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplieso Contribute to team effort by accomplishing related results as neededo Carry out administrative duties such as filing, typing, copying, binding, scanning etc.o Develop and update administrative systems to make them more efficiento Resolve administrative problems• Inside Saleso Receive customer RFQ’s and purchase orders by phone, e-mail, or ERP systems.o Ensure parts, pricing and delivery dates are correct when RFQ’s and purchase orders are received. o Maintain RFQ log and RFQ folder system to ensure orders are processed in a timely manner.o Confirm data entered for new orders and input new purchase orders into ERP/MRP system.o Assist with customer requests such as rescheduling, expediting and cancellation of line items.o Act as liaison between customer and operations to ensure customer expectations are met and goodwill is maintained.o Oversee processing of purchase orders from data entry in ERP/MRP system to order confirmation, scanning, and filing.o Prepare status reports as requested by customer.
