As the Global Privacy Officer & DPO, I developed, manage & lead three distinct & overlapping enterprise-wide programs: (i) Data Privacy & Data Protection; (ii) Data Retention; & (iii) Data Oversight, resulting in a unified Data Compliance (DC) Program. As companies continue to leverage & democratize data, while also desiring to improve data quality, reporting & disposition, they develop a variety of working models addressing day-to-day enterprise data management (EDM) needs. Having a collaborative & merged DC team dedicated to identifying legal/compliance risks associated with: (i) using personal data; (ii) retaining data; and (iii) operating an EDM program, is a practical, effective & ideal oversight approach. To ensure that the company’s DC Program operates properly & efficiently, my team is divided into: (i) legal & operational functions; & (ii) centralized employees (global employees reporting to me) and decentralized employees (global employees reporting to other functions w/ a dotted line to me). I divide my team into legal & operations to ensure that the business-friendly legal guidance & requirements are implemented by the business in efficient & timely manners, with my team collaborating and facilitating. Within the DC space, the importance of having an operational team to mirror & supplement a legal team cannot be overlooked. This design encourages roadmap development, process improvements, automation and scalability, while still providing a dedicated “hand-off” function for the legal team. Acknowledging that companies have limited resources that must be allocated, trained, & optimized efficiently, looking outside of a direct reporting line to identify interested & skilled resources existing in other business functions is a creative way to further DC. My team educates & trains such decentralized employees, who then use their influence/bandwidth to further DC efforts across the organization. I believe it to be a testament to my team’s outlook, working style & approach that the business acknowledges/understands the importance of furthering DC within their roles & responsibilities, appreciates the value that the DC team offers, & elects to take-on additional job responsibilities & a dotted-line reporting structure. Ultimately, my team enjoys solving enterprise-wide problems by providing reasonable & defendable DC solutions to business issues & working in a collaborative & cross-functional way.
