Estates Co-Ordinator
CurrentSupport the management of a compliant and effective Estate operation on site. Coordinating all Estate operations, effective financial and administrative management supporting the Estate Manager. Contributing to an effective Estate Management function by reporting site defects through the relevant reporting system to ensure all helpdesk requests are processed in a timely manner. Provide contractor management and oversee all contractor documentation including risk assessment and method statements (RAMS), procurement paperwork, contracts, work orders, and job sheets to ensure they meet the required standard. Checking work is done to the required standard and receipting work completed. Responsible for the management of departmental documentation including surveys, reports, planning permissions and statutory records. Support the Estates Manager in the compilation of reports, presentations and consent applications (e.g. Planning, Listed Building, Advertising, Building Control, etc). Responsible for placing and tracking all departmental Purchase Orders in line with the SMG Financial procedures. This includes tracking expenditure and reporting on a regular basis. Provide excellent customer service, answering all visitor queries in a polite and helpful manner and offering similar levels of service and professionalism to staff and contractors. Liaison with all other Museum teams to ensure positive communication from Estates. Attending local meetings and representing the Estate team in a variety of site forums. Responsible for completing local area safety checks, logging defects with contractors and updating health and safety systems to capture incidents and actions. Deputise for the Estate Manager when required and attend key stakeholders meeting to represent the estate team on site when the Estate Manager is unavailable.
