CurrentNew Jersey notary public duties Main Responsibilities:Maintains insurance certificates as required by clients and subcontractors;Maintains company-wide subcontractor agreements andPurchase Orders;Prepares and maintains all project files, including Manpower Reports, Project Schedules, Submittals and Requests For Information (RFl's);Prepares bid worksheets for new estimates and proposal forms, prepares instructions to bidders (ITB) and works with subcontractors on specifications;Sends ITBs and follows up with subcontractors, and distributes bid packages;Maintains office services by organizing office operations and procedures.Communicating with auditors to ensure deadlines are met.Supporting CPA throughout audits with required materials.Assisting in Insurance Renewals such as Professional Liability, General Liability, Excess Liability, Workers Compensation, and Auto Insurance to provide the company with lowest cost and best coverage options.Creating, reviewing, and sending contracts to subcontractors, general contractors, and clients, in accordance with state and federal laws.Organizing records and creating spreadsheets to reflect correct figures.Managing emails, letters, packages, phone calls.Handling highly confidential documents with discretion.Anticipating potential changes or shifts in priorities amidst simultaneous demands for attention.Submit invoices to customers on a monthly basis based on completion of contracted work using standard invoices and AIA progress billing.Maintain company cash flow by properly collecting company receivables.Assist in maintaining profitability by tracking project expenses against contracts in detailed reports.Collection and review of timesheets to be processed by Payroll Company (weekly and bi-weekly payroll).Creation, monitoring, and regular reporting of invoice billings.Entering certified payrolls into Labor Compliance and Certified Payroll Software through Elations Systems.
