(Ibtci) May 2016 - Dec 2018Nairobi, Kenyao Ensures implementation of effective & efficient systems of internal controls in the field officeo Ensures compliance with IBTCI and USAID policies and procedureso Prepares and submit expenditure worksheets of every subsequent month to HO and the local management.o Reviews all payment documents for proper and adequate back up and in accordance to guidelines.o Prepares payroll and ensures accuracy and adherence to overall budgeto Monitors cash flow and ensures cash advances are requested in a timely basis manner to avoid cash shortageso Prepares monthly management accounts on or before due dateo With COP, ensures timely preparations of financial reports required by HO and, when needed, by donorso Maintains IBTCI bank accounts and ensure adequate controls over cash and bank holdingso Prepares bank reconciliations for project office and send it to main office by 3rd of every montho Serves as a bank liaison with the project’s bank on all banking issueso Ensuring that statutory deductions are paid on time to avoid penaltieso Completes and submit all necessary forms for reimbursement of VAT and follow to ensure the project is reimbursed.o Ensures the asset list is maintained and sent to HO when required (at least quarterly)o Works with the technical and logistical teams in preparing budgets for TO proposals and ensure budget notes are in accordance with the budget; work with COP to finalize and to make amendments based on USAID feedback o Updates payroll records to ensure accuracy of the payrollo Reviews and count petty cash maintained by the office manager for accuracy ensuring that expenses are in line with organizational policies.o Conduct a timesheet audit for project office on quarterly basiso Work with technical and logistical team to ensure that all payments are made to local consultants per their contractso Works with technical and logistical teams to assist in the smooth and efficient operation of each activity -
