Providing support to the Team Leader in leading a team of 8 staff. Working on a variable three shift pattern. Ensuring incoming post is delivered and outgoing post is processed in an effective and timely way. First point of contact for all ad hoc queries relating to postal services/ couriers etc, making sure that the Admin Centre is providing a good service to the employees based on its floor. Additional services provided by the department includes shredding confidential documents, provision of a photocopying service and maintaining supplies of standard stationery items. Key Responsibilities and Deliverables * Resourcing – assist the team leader in ensuring that the floors have adequate postal support through the production of work rosters, organising cover for sickness and holiday and agreeing over time requirements. * Client Service – help to ensure that the postal services provided, including the Admin Centre services, is consistently at a high level by obtaining feedback from the client, managing expectations regarding deadlines and being a point of contact for the client and postal services support assistants to resolve any issues. * Sort all incoming post by floor and deliver to Admin Centres in a timely manner * Log all ‘By Hands’ post and sort the post for distribution ensuring accuracy * Follow the required processes to enable outgoing post to be delivered in an effective and efficient way * Start-up PCs and copiers daily including restocking paper trays * Liaise with Admin Centres and the Copying Centre to proactively manage the workload * Deliver incoming mail to employees on the floor and collect all outgoing mail from out trays at regular intervals * Maintain stationary stock levels * Maintain an up to date floor plan and ensure name plates are accurate * Providing general operational assistance to your floor by collecting and destroying confidential shredding documents, collecting deeds boxes, providing basic maintenance for
