Pre-Purchasing Phase: • Collect data from the ticketing system, JIRA, we see purchases that are coming down the pipe so we can start organizing the purchase.• Organizing the purchase means to break up the BOM (Bill of Materials) based on the type of purchase (Software, hardware, specialty items).• Determine if any criteria of the purchase will need additional approvals or forms (such as ACOR approval for dollar amounts and/or custodian forms for certain software, NCSJ for sole source purchases).• Communicate with the requestor by asking questions if needed to ensure accuracy.Purchasing Phase:• Utilize Costpoint (CP) to submit a RFQ request to the buyers. • Review the quotes for accuracy, ask any questions to the requestor about part numbers, End of life items, etc., and compare the costs.• Determine the quote that will receive the award based on accuracy and lowest cost and ensure that we do not exceed the budgeted amount allowed. • Once we have selected the winning vendor, we submit the purchase request in Costpoint for approvals and then the Purchase Order (PO) can be issued. The Buyer will email us the PO.
