Executive Assistant/Facility Security Officer
Current• Manage daily schedule and calendar for the CEO, to include scheduling all meetings, appointments, and conference calls.• Served as Deputy Facility Security Officer (FSO)• Manage/oversee front desk manager and HUBZone manager.• Book travel for the CEO and, periodically, for other executive leaders to include flights, hotelrooms, and rental cars.• Coordinate agendas for all meeting and provide minutes to executive leadership• Prepare and/or edit a wide range of correspondence, including letters, memoranda, reports,meeting materials, and PowerPoint presentations. • Research, plan, and register executive leadership for conferences regularly.• Review and serve as approver representing the CEO for select expense reports, and employee~timesheets. Audit employee credit card transactions.• Serve, periodically, as approver for financial/banking transactions, as directed by the CEO.• Provide support to accounting group by creating and updating forms, providing financial reporting, and scanning and sending documents, bills, invoices, and receipts.• Provide support to accounting group in budget preparation and monitoring, to include trackingexpenditures and distributing reports. May prepare spreadsheets for budgets, grants, or contracts,including tracking and maintaining expenditures and reconciling accounts using budgeting tool.• Prepare financial reports using online financial systems or oversee and direct the work.• Oversee the on-going inventory and ordering of office supplies, marketing materials, and IT assets, as requested. Works with Front Desk Manager to select and evaluate vendors when ordering materials (business cards, banners, giveaways, etc.).• Oversee management of conference room usage at our corporate headquarters.• Oversee space planning, to include design layout, and assignment of workspaces.
