In this position, I maintained a high level of attention to detail, while multi-tasking to meet multiple deadlines in a timely manner. Frequent interruptions and re-prioritizing tasks were a daily, if not hourly, occurrence while leading a front office. In addition, I assisted the Human Resources section by sitting on and setting up interview panels, creating interview questions, and scoring applications.I lead the day-to-day supervision of an administrative team to perform office, records processing and clerical support. In addition to performing staff evaluations and resolving issues related to work performance, I also established work schedules and authorize overtime. One of my primary areas of emphasis was providing an atmosphere for team members to learn and grow through direct work involvement and training opportunities, while recommending and implementing efficient workflow changes as needed.I worked directly with the Facilities Coordinator to manage the agency’s leasing activities surround space planning, remodeling, lease administration, building security, parking, alternative transportation programs, telecommunications, mail operations, office relocation, energy conservation, recycling and state surplus.Served as the agency’s Records Officer. Interrupted statues, rules and made decisions affecting records generated within the agency. Ensured internal tracking systems and processes were followed to allow for accurate maintenance of records. Received all legal documents as the custodian of records for the agency, while processing documents as appropriate to agency employees, managers, and the Department of Justice. Coordinated the duties of the agency’s two Records Specialists. Worked in tandem with State Archives to arrange proper training for all agency staff. I accomplished removing Oregon Housing and Community Services from the State Archives list of agencies to be concerned about record management practices.
