Administrative Officer
CurrentServes as the Division's principal liaison with matters relating to staff travel, panelist recruitment and contracts, the National Council, and human resources.Advise and assist with administrative and operating processes and procedures regarding budget, travel, training, personnel and procurement.Prepare and disseminate all correspondence for our council members in preparation of our quarterly meetings.Remains in close communication with the Chairman’s office of panel notifications including preliminary grades and agendas in preparations of panel meetings.Served as Program Analyst liaison to assist in the process of entering applicants into the database verifying information on titles, affiliation, department as well as other personal information being entered for accuracy.Communicated with prospective applicants answering inquiries on policies and guidelines.Imputing recommended, turn downs, or up-flagging applications into our electronic grants management system. Processing contracts daily as well as quality control (i.e. incomplete contracts, verifying accommodations with Manassas Travel.Answer inquiries from panelist regarding payments for authorizations a/o vouchers.Create panels in our electronic grants managements system for various programs in our division.Manages and generate reports for the division’s quarterly budget by monitoring outright expenditures and tracking available funds.Reviews request for personnel actions and performance appraisals to ensure deadlines are met in coordination with the division’s director to ensure timely submission to Human Resources.Administer notes on various panel sessions.Works closely with program officers for the recruitment of panelists to initiate travel arrangements and requests.Interacts closely with Administrative Service Office and Accounting to ensure prompt payment for panelist.Arrange and schedule conference room availability for monthly meetings for team members.
