Acting as Executive Assistant to the CEO, including: • Arranging travel and applying for travel Visas.• Processing expenses, including collecting, scanning, and uploading invoices and receipts and filling out expense reports.• Booking meetings and managing schedules.• Researching and implementing French courses and coordinating classes with instructor.• Other tasks as required.Providing administrative support to management and employees, such as:• Reception… Show more Acting as Executive Assistant to the CEO, including: • Arranging travel and applying for travel Visas.• Processing expenses, including collecting, scanning, and uploading invoices and receipts and filling out expense reports.• Booking meetings and managing schedules.• Researching and implementing French courses and coordinating classes with instructor.• Other tasks as required.Providing administrative support to management and employees, such as:• Reception duties, including greeting guests, answering phones and emails, and accepting deliveries. • Sending inter-office communications in English and French. • Ordering office supplies and stocking kitchen.• Maintaining a pleasant work environment by tidying reception area, boardrooms, and kitchen, loading and unloading dishwasher, and organizing storage and supply rooms. • Liaising with building management regarding parking and access cards, maintenance, heating, deliveries, etc. • Organizing monthly sample sale for employees.• Coordinating food orders and prepping boardroom for meetings.Performing shipping and receiving duties:• Managing outgoing shipments, including local courier, Canada Post, FedEx, and UPS. • Packing and shipping samples to clients in USA, Canada, and China. • Receiving, unpacking, and distributing boxes of samples from factory in China.Other duties as required, including:• Assisting HR Specialist by activating and keeping track of access cards and parking passes, maintaining an employee database, and updating office seating plan. • Researching and implementing new web-based travel agency service in order to simplify business travel and consolidate related expenses, and acting as travel manager. • Planning office events, including monthly employee breakfasts, product launches, teambuilding activities, summer barbecue, and annual holiday parties.
