In the role of Senior project coordinator I got to help with two new projects to set up the structure regarding shared mailbox, calendar and purchase orders (PO's) in SAP. I also handled the approval and processing of invoices for them to be paid on time.Helping out with various arrangements, both in Stockholm and abroad, such as dinners, team building activities, booking meeting rooms and meeting venue.I also supported in developing introduction plans for new employees, in the offshore departments, to Vattenfall. Ordering IT equipment, access cards and guided the new employees around the Solna office and how it works.

As a Project Administrator at Vattenfall Vindkraft, Offshore development, I mainly focused on the Swedish Offshore development projects. The project administrator scheduled team meetings, updated the different projects org.charts, updated and giving access to the different projects SharePoint sites, setting up purchase orders (PO’s) and coded invoices to make sure that they were connected to the right PO and paid in time. Each month every project had a Sponsor report to deliver to the sponsor and I had the template uploaded to the project SharePoint site for the Project Director to fill in the progress of the project. Then uploaded the report it to the department SharePoint site in good time before the Sponsor meeting. Supported in planning and organizing different events. In the event planning it might have been to find different activities, finding a venue to hold the meetings and booking restaurants for dinner. One of the big task I did during summer of 2022 was to set up the structure for one of the new projects for Vattenfall. Make sure everything was set up in the financial systems, setting up a new SharePoint site, working with different departments in Vattenfall but also with the Joint ventures for the project. To set up the whole admin part of the project to make it work in a good way for Vattenfall internal but also to make the joint venture partner have a good insight in what was going on in the Vattenfall systems. Worked closely with different stakeholders within the projects, such as the PD, TPM, PMO, Controller and Document controller. For a yearI acted as Document Controller for the Swedish project since there were no Document Controller who could take care of them. For a few months acted as Project Coordinator for the internal Vattenfall project “Smarter Working”. Smarter working was a rebuild of the office to go from designated desk to an activity based workplace. Setting up meetings with internal and external stakeholders.

As an IT administrator at Länsförsäkringar's Infrastructure & Operations, I was a support to the management team within this IT department. I have, for example, booked management group meetings, department meetings and kick-offs. Prior to these meetings, it may have been to book a room, invite participants, order refreshments when needed and also book activities. After some of the meetings I compiled the work that has been done, for the management team to be able to get a better overview of what was the outcome of these meetings.One of the more common taskt that I helped out with was to provide access to I&O's SharePoint for new users but also to provide access to folders and libraries, within I&O's SharePoint, that had special permissions.I also collected and compiled information for various reports to be submitted on a monthly and quarterly basis.Part of my duties was to on-board new resources, both new employees and consultants. I made sure that equipment and accessories was ordered for the new resources. I also showed the new resource the premises to give some knowledge of how LFAB premises and equipment work. When any resource assignement ended I made sure that all equipment was returned and all permissions and accesses was removed.I also had time to learn ServiceNow, which is the backbone to Länsförsäkringar's ordering system for access to other systems and product ordering system. In ServiceNow, my main task was to set up access, for users, to Länsförsäkringar's system. One of the other tasks that I did, in Service Now, was to uphold the correct information for the Cost Centers within Länsförsäkringar and their companies. That could be; to make sure that the correct person approved the orders and set up new cost centers.I also helped the management team, for I&O, to set up the physical Kanban board on site but when Corona happened I helped out to set up the board in Service now as a Visual Task board.

As project coordinator for one of the larger IT programs at Fujitsu, my main tasks was to secure resources for the sub-projects included in the program. As a resource requestor, I submitted resource requests into c.Resource system. When it was time for the resource to start the project, I made sure that the resource got a access card, access to the time reporting system, different kinds of SharePoint and order the hardware needed to facilitate the work. Ordering hardware was done in the Hatchu! system.For resources that came from a Fujitsu company outside Sweden, I had to created a purchase order, in Platinum, so that they could invoice the company for the resource. Purchase orders were also created for external companies from which the projects needed to order services or products.I also made sure that the project managers had access to the various systems they needed to make their weekly and monthly reports, such as Spotlight and MPR.I was also responsible to book joint meetings for the entire program, meetings with the customer, internal and external steering group. In the steering group meetings, both internal and external, I made meeting notes and meeting minutes.For formal approval to and from the customer, such as acceptance of milestones, documents and change requests, I was responsible to send the email to the customer.

During my time at Acne Studios, as a IT project coordinator, I was participating in two different projects. In both projects, we worked with the agile working method storyboard in Visual Studios.The CRM project focused on changing systems in the stores to make it easier to store and process customer data. In this project I was participating in the final phase and managed the rollout of the implementation of the CRM system for stores around the world.The second project I was part of, as sub-project manager for the IT department, was to exchange the PDM system for a new PLM system. In this project, I planned resources and also made the budget for the IT department.I also worked to ensure that system development was tested by the user before it was implemented in the system. This was done by sending BRDs (Business Requirements Document) for approval and UAT (User Acceptance Test) was done. To help keep track of the cases, the storyboard method was used in Visual Studios.When I started at Acne Studios, they used the agile method KANBAN but later switched to Storyboard.Each week, I prepared a report that was submitted to the CIO to report on the progress in both projects, but also a report on how the employees, in IT System Development, worked and what could be the reason why matters did not progress as desired. To get the report on how the cases, stories, progressed, I created Queries, in Visual Studio, and connect to Excel in order to be able to sort the tasks in a simple way.
