Manage day to day operations at The Civic Canopy. Provide oversight of systems and processes, including bookkeeping and accounting support, technology, HR support, fundraising support and facilities management.

Oversee and ensure optimal function of organizational infrastructure and facilities, including systems, processes, technology, communications, satellite offices and fleet vehicles. Direct and manage organizational volunteer program.• Oversee optimal performance of office hardware including server, workstations, phone system, copiers and fleet vehicles• Establish and manage vendor relationships including IT consultants, insurance, landlord and organization’s suppliers• Assist with accounts payable/receivable processing• Record and maintain donor gift records in donor database• Develop and maintain organizational Operations Manual• Oversee organization’s volunteer program including recruitment, training volunteers for specific mission critical projects, tracking volunteer hours and maintaining volunteer relationships• Maintain volunteer database records and generate volunteer program reporting• Serve as front desk reception, routing phone calls and greeting visitors

• Ensure daily company operational efficiency by providing sound office-system resources and procedures.• With accounting team, execute monthly billing and collections processes.• Manage vendor relationships and vendor expense budgets, with focus on expenditure reduction.• Oversee new hire onboarding and orientation processes, and exiting employee procedures.• Set up communications systems for new hires and train new hires in company procedures and policies.• With CEO, determine company policies and edit, update, and maintain company employee handbook.• Oversee annual open enrollment for company health benefit plan.• Develop employee job descriptions and maintain employee files.• Serve as first tier technical support for email, network, printers, phones, server, etc.• Manage building facilities including landlord relations, systems maintenance and general office safety.

• Maintain daily project traffic schedule and ensure weekly timelines and deliverables are met.• Oversee monthly billing and collections process.• Manage vendor selection and ensure vendor expenditures adhere to SG&A budget.• Report semimonthly payroll and ensure employee records are consistently accurate and up to date.• Lead and conduct new hire orientation process and ensure new hires have optimum training and resources to become immediately productive after training.

• Manage all aspects of marketing projects including budget, timeline development and deliverables.• Serve as primary interface with university vendors and clientele in production and timely delivery of materials, goods and services.• Develop project proposals and estimates for university clientele.• Allocate and schedule incoming creative project work to a team of designers, editors, web developers and photographers, and ensure project schedule and budget adherence for university marketing projects.• Contract and direct freelance creatives and vendors in creation and fulfillment of marketing materials.
