Supervision of the other crewmembers assigned to the Crew Office (Immigration Purser / Crew Purser); Management of all financial matters related to Crewmembers and relevant registrations; Responsible for communicating to shoreside Human Resources claims concerning salaries, deduction, allotments, refunds on behalf of crew members and providing relevant follow-up; Request, print and deliver of crew payroll cards; Payment of wage advance for crewmembers, advising shoreside office of the amounts requested; Keeping the Cashbooks updated daily and all the onboard systems related to Crew aspects; Cooperate with Crew Purser in keeping crew documentation updated and for the production and distribution of crew badges; Record all crew movements (embarking / disembarking) in the onboard book registered with the ship flag consulate, etc.

Assists in the clearance of the ship regarding all crew documentation; management of all matters related to crew members such as: organizing and supervising embarkation and disembarkation operations; control of documents (passports, seaman's book, visas, ok to board and flight itineraries); updates systems and safe-keeps all crew members documents, both personal and contractual, in order to assure the correct preservation of all administrative documents regarding onboard personnel; requesting visa through port agent to local authorities for disembarking crew; collect crew data and organize with brokers the issue of visas for embarking crew on upcoming seasons; communication to HR department ashore and onboard regarding contract changes and extensions; communication to crewmembers regarding company procedures and distribution of relevant documents; prepares immigration & customs disembarkation forms; coordinates with port agent transfers for crewmembers; distribution of landing cards or transit visas to the crew members according to the restricted nationalities of each port; production and distribution of the crew badge cards upon embarkation; reports daily crew movements to ship and shoreside; preparation of onboard crew lists, crew movements, manning comparison, SOX (Sarbanes Oxley Law) lists and distribution to all head of departments and port agents; keeps registers, state requirements and MLC requirements updated in compliance with Company procedures.

Management of all passenger identification data with relevant authorities, port agents and shore side offices to ensure efficient and effective ship’s clearance; visa and passport control, verifying all non-EU documents, with special attention to those nationalities requiring visas; co-ordination with the port agent regarding all requests during the port of call; preparation of onboard passenger lists and distribution to all head of departments and to port agents; produce daily and final passenger movement reports; distribution of landing cards to the guests; prepares all necessary customs manifests and landing cargo manifests; informs the Bridge and departments involved in Pax embarkation regarding the passenger status at stated times and when necessary; provide information and send communication concerning “Family Request” and “Family & Friends” for crewmembers; checking documents of the technician coming on board for maintenance; informs the Master / Bridge at every departure concerning status of total passengers and crew on board.

Assisting guests providing accurate and timely information about all the onboard services and departmental procedures, handling complaints and requests in order to work to resolve them promptly and deliver an effective, courteous and professional service always providing satisfactory solutions. Besides the desk job, acting as phone operator at back-office covering multiple tasks such as wake-up calls, public announcements, external calls, fax, e-mail, internal and satellite calls from shore side to the ship, cabin safety boxes assistance, luggage handling, lost & found, etc.

Preparing reports for the Hotel Director by cruise and monthly regarding the cruise overall situation inserting data from all departments, translating feedbacks from guests (e-comment forms), back up of cruise information and guests data, preparing lists and invitation for meetings, cocktails and onboard events, internal communication to all head of departments.
