Workflow Design, Development and ECM System Integration, utilizing OnBase by Hyland Software.

Designed and Implemented an OnBase Approval and Tracking Workflow for the Accounts Payable and Accounts Receivable Departments. This project involved the creation of eight E-forms for GL adjustments that imported data from their legacy Viewpoint software (Vista) into dynamic form tables. This project also involved the capture of the form data into a WorkView application for reporting purposes.Accomplishments:- Designed and Developed Lifecycles to manage the Indexing and Approval for the different form processes.- Designed and developed several OnBase E-forms, utilizing jQuery for real-time look-ups to Viewpoint, which populated dynamic tables on the forms. These forms also contained dynamic tables that the users can add and delete rows from.- Inserted/Updated the form data in a WorkView Application for reporting and audit purposes.- Designed and developed an attachment upload ASP.NET page that allowed users to import documents directly from the form into OnBase. The uploaded documents inherited applicable forms keyword data and automatically displayed the documents in the Workflow folders.- Designed and Developed a C# WCF Web Service which had methods to return the related documents for a specific form, a method to return data from WorkView to populate form tables and a method that queries OnBase to see if a form already exists in the system containing the same keywords.- Designed and developed dynamic OnBase user forms, utilizing jQuery for real-time look-ups to OnBase User Groups for Approver selection.

Automated AP Processes in OnBase using Unity Scripts.Accomplishments:- Designed and developed OnBase Unity Scripts to Automate the Accounts Payable process.- Integrated OnBase with Freedom Financial Accounting Software (invoice insert and data look-ups).- Created Unity API scripts to export OnBase Images along with an accompanying index file for certain customers.- Converted several legacy OnBase VBScripts into Unity scripts.

Implemented OnBase for the Enrollment, Admissions, Bursar, Registrar and Advising departments. Setup the system to be used for multiple Universities, while keeping each Universities documents separate from a users perspective.Accomplishments: - Designed and developed a C# Web Service to upload documents into OnBase, update the students admission status on all documents for that student. These interfaces were called by Laureates’ legacy Onyx system and were written using the OnBase Unity API. - Created all document types, keywords, foldering, custom queries, scan queues, security groups and security keywords. - Setup the OnBase Web Server with a Load-Balancer. - Setup OnBase to use NT Authentication across multiple domains. - Setup the OnBase Disconnected Scanning. - Developed a program to export documents from an existing OnBase system and migrated the documents into the new OnBase environment. - Setup OnBase for the Accounts Payable and Financial Aid Departments. - Implemented OnBase PeopleSoft Integration Module.- Wrote several Indexing and Productivity Reports using the OnBase Report Services Module.- Installed and Setup new Environment for OnBase version 14.- Upgraded OnBase from version 10 to version 14 in new environment.- Converted OnBase Subscription Server to OnBase Mailbox Importer.- Converted legacy VB Scripts into Unity Scripts, upgraded existing web services with the latest Hyland dlls and the .NET version.- Created a Unity API External Autofill Keyword Lookup Script that called a web service to get student data from Onyx, based on the Student ID entered in OnBase. The student data was used to populate the index fields in OnBase.- Assisted in organizing test plans and testing in the upgraded environment.

Designed and Implemented an OnBase Invoice Approval Workflow for the Accounts Payable Department. This project involved the creation of a dynamic E-form for the entry and validation of line item account codes and the integration of OnBase with IFS, accounts payable software.Accomplishments:- Developed Lifecycles to manage the Indexing and Approval.- Developed system queues to upload Invoices into IFS with error handling and to send out notifications.- Created Autofill keyword sets, that the process owner could manage, that determined the appropriate AP Processor for given documents, and assigned the documents to them.- Designed and developed dynamic OnBase E-forms, utilizing jQuery for real-time look-ups to IFS for GL account validation. - Configured Tagged DIP Import Processes for invoices that went through an OCR process in Paper Vision Capture before they entered OnBase.- Installed the OnBase Mobile Application Broker so remote users could approve invoices on their phones.- Installed the OnBase Lotus Notes Integration Module for users to import email and attachments directly from Notes into OnBase.- Designed and developed dynamic OnBase user forms, utilizing jQuery for real-time look-ups to Active Directory for Approver selection.

Designed and implemented a solution to allowing users to create, update and perform workflow tasks on OnBase E-forms outside of OnBase for the Finance Center. This project involved the creation of several dynamic E-forms for the entry and validation of line item account codes and the integration of OnBase with Oracle Financial software. The customer requirement was for the forms to be browser independent and be fully functional from any mobile device.Accomplishments:- Designed and developed several OnBase E-forms, utilizing Twitter Bootstrap so the forms display on mobile devices, and jQuery for real-time lookups to Oracle Financials, which populated dynamic tables on the forms. All of the forms were browser independent.- Designed and developed ASP.NET page that creates an E-form in OnBase and then displays it outside of OnBase for the user to fill-out and submit. After the E-form is submitted all keyword information is stored in OnBase and the form enters the OnBase workflow associated with the document type. - Designed and developed ASP.NET page that retrieves an existing OnBase E-form in workflow and displays it outside of OnBase. The form is found based on URL parameters stored in the hyperlink that was emailed out of OnBase as part of the workflow process. Based on the workflow queue that the document is in a list of the applicable tasks in that queue, which the current user has access to, are displayed in a frameset. The users could then execute the tasks on the displayed form and the corresponding workflow task would be executed, via a web service call, on the document inside of OnBase.- Designed and developed an attachment upload ASP.NET page that allowed users to import documents directly from the form into OnBase. Design and develop a process for the public to fill out a complaint form and a process that validated and registered the complaint, then modeled the process for responding to the complaint within workflow.Accomplishments:- Designed and developed a dynamic Unity Form and published to the School Board web site for users to fill out. - Designed and developed a workflow that kicked off when a person submitted the complaint form. The workflow was used to validate and register the complaint. The workflow process provided the complaint status to the person that filed the complaint, as the complaint went through the various workflow stages.- Integrated the workflow with a WorkView Application used for tracking and reporting purposes.

Design and develop a process to migrate documents from Canon ImageWare into OnBase with 100% validation and audit capability.Accomplishments:- Designed and developed a tool that migrated over one million documents from Canon ImageWare into OnBase.- Designed and developed a workflow that validated 100% of the documents that were migrated with reporting.- Designed and developed a workflow that allowed the users to audit a percentage of migrated documents with approve/reject options and reporting.- Mapped legacy document types and index values to OnBase document types and keywords.- Created document types, keywords, custom queries, scan queues, and security groups.

Design and develop a process to migrate documents from GE Centricity to OnBase with 100% validation and audit capability. Optimize the scanning operation for Bayview Medical Centers’ HIM department.Accomplishments:- Designed and developed a tool that migrated seven million documents from GE Centricity into OnBase.- Designed and developed a workflow that validated 100% of the documents that were migrated with reporting.- Designed and developed a workflow that allowed the users to audit a percentage of migrated documents with approve/reject options and reporting.- Created a C# application that added the Enterprise Patient Master Index (EMPI) on existing patient records in OnBase.- Created an ASP.NET web application that queried historical patient records in OnBase and In Documentum for a given patient and presented links to the documents along with demographics on one page. This page was accessed from within Epic and externally.- Assisted the Bayview HIM department in setting up Document preparation, scanning and Indexing procedures. Designed and Implemented an OnBase Order Indexing Workflow and integrated it with DataWorks and Oracle.Accomplishments:- Facilitated design sessions to determine the goals and requirements. - Developed Lifecycles to manage the Indexing of Orders and splitting of Documents within OnBase workflow. Designed and developed a standardized approval process for all Contracts and Subcontracts using OnBase Workflow.Accomplishments: - Developed Lifecycles to manage the Approval of Contracts and Subcontracts within OnBase. - Designed and developed a OnBase Unity Scripts to calculate approval routing and return the next approver in the routing. - Created all document types, keywords, foldering, custom queries, and security.- Installed and setup the OnBase Subscription Server Module.- Designed and developed a custom indexing process, where remote users email attachments to the Subscription Server and receive an email link that takes them to an ASP.NET page to index the email and attachments.- Designed and Developed an ASP.NET page which presented the user with a dropdown list with the email and all attachments to be indexed. Once the user selected the document the document was displayed in a viewer contained in a frameset. After the user selected the OnBase document type, the keyword types for that document type were displayed as form fields for the user to fill out and submit.- Designed and Developed a C# Web Service which had methods to return the available document types, the keyword types for a given document type, and a method to set the document type and updated the keywords on a document.

This project involved the integration of OnBase with Lawson, accounts payable software.Accomplishments:- Developed Lifecycles to manage the Indexing and Approval of invoices within OnBase. - Created Business Rules, that the process owner could manage, that determined who the appropriate Credit Reviewers for given documents, and assigned the documents to them. - Created Business Rules, that the process owner could manage, that determined whether a approved invoice should be audited, and routed all documents selected for audit to the audit queue. - Designed and developed dynamic OnBase user forms, utilizing AJAX for real-time lookups to Lawson for GL account validation. - Created a Unity API Interface to Lawson to insert Invoices, insert new vendors, update existing vendors, and validate GL Coding. - Created XML style sheets for XML based Checks, Invoices, Purchase Orders and reports. - Configured XML Tag Import Processes for XML based Checks, Invoices, Purchase Orders and reports. - Developed several Unity scripts that determined a users supervisor, calculated Best Terms for an invoice, queried WorkView for automated indexing, updated WorkView attributes and many others.

Designed and Implemented OnBase Workflows for the Accounts Payable, Cargo Claims, Real Estate and Rating departments. Optimize legacy workflows/applications and took lead role on new project initiatives. Also designed and developed an e-form based workflow for an "Authorization for Expenditure" process, which involved integration with PeopleSoft and Active Directory. Accomplishments:- Implemented new OnBase modules such as RightFax Integration, Application Enabler, StatusView and Workflow Server Manager.- Optimized existing workflows and eliminated database slowdowns. - Converted large batch processes from inefficient timer driven queues to external scripts that processed the documents outside of workflow. - Decreased the speed a document took from DIP to a users work queue from 15 minutes to less than 1 minute.- Created and expected test plans and test scripts for an OnBase upgrade from 3.7 to 3.9 for the Thick Client, Web, Desktop, Application Enabler and all external applications that accessed OnBase. Design and Implement an OnBase Workflow for Medical Chart Verification, Medical Chart Coding and Audits for the Billing Department. This project involved the integration of OnBase with IDX, medical billing software.Accomplishments:- Facilitated design sessions to determine the goals and requirements.- Developed Lifecycles to manage the Indexing, Verifying, Coding and Auditing of medical charts within OnBase.- Used the OnBase Workflow module to design the required rules and actions that satisfy the client’s requirements for standard tasks to successfully Verify, Code and Audit medical charts.- Created a VBScript that utilized the SmartTerm (terminal emulation software) API to “screen scrape” key information from the IDX system to OnBase.- Designed and developed a SQL 2000 database that holds user performance records for the client’s Performance based Compensation system.- Developed VBScripts that populated the user performance SQL 2000 database.- Developed a COM based program to generate a flat-file according to the specification from the IDX Import Module.- Developed a script that reads a flat file and generates facility specific JavaScript files for use in an eForm.- Created executables to download images and demographic data from remote offices via FTP. The images were placed on a network drive and the demographic data was inserted into a database. Finally, another executable creates a DIP file from the new records in the database, which is imported into OnBase via a Processing Job.- Created efficiency and management reports based on Workflow activity, which reported against the OnBase Database.

Design and Implement an OnBase Workflow for Invoice Approval for the Accounts Payable Department. This project involved the integration of OnBase with JD Edwards, using Hyland’s Application Enabler.Accomplishments:- Facilitated design sessions to determine the client’s goals and requirements.- Developed Lifecycles to manage the Indexing, Editing, and Approval of invoices within OnBase.- Used the OnBase Workflow module to design the required rules and actions that satisfy the client’s requirements to successfully enter, approve and modify Invoices.- Setup an Application Enabler/Workflow Task to “screen scrape” keyword values from the JD Edwards screens to the invoice in OnBase.- Created separate security features for all invoices related to the Legal Department.- Designed and developed a delegation mechanism, so users can designate someone to approve invoices for them while they are out of the office.- Created an ASP interface to the delegation mechanism and integrated it with the OnBase Thin Client.- Designed and developed an escalation mechanism, so approvers who do not take action on an invoice for in two business days, they are escalated to the appropriate manager. The script that calculates the business days, takes company holidays, which are stored in an external database, into consideration.

Design and Implement an OnBase Workflow for Invoice Approval for the Accounts Payable Department. This project involved the integration of OnBase with PeopleSoft 8.4, because of the size and complexity of this integration a custom interface to OnBase Workflow had to be developed.Accomplishments:- Team Lead of an eight member OnBase/PeopleSoft development effort.- Helped implement and debug an indexing application that copied information from PeopleSoft to OnBase in a split screen environment.- Designed and developed a custom interface to the OnBase Workflow module, specific for each job function accessing the workflow.- Designed and developed a custom task that read an XML document containing the GL account distributions for each line item of an invoice. The XML data was displayed and could be dynamically edited by line item. The user has the ability to insert, edit, delete, or approve/reject distributions for a given line item that they have access to. After the form is saved, the data is validated in PeopleSoft and inserted, if valid.- Designed and developed custom tasks that display a QA form. If no items are rejected, the corresponding voucher is posted in PeopleSoft. If an item is rejected a note is automatically attached to the document, containing what was rejected, using the OnBase Core API.- Designed and developed custom tasks that queried an associated SQL database containing buyer and approver information and then set keywords on the invoice, based on user interaction, using the OnBase Core API.- Designed and developed an ASP based user interface to the client’s Buyer/Approver SQL database.- Designed the query which calculated the approvers based on the account information contained in the distributions.- Setup full test and quality assurance environments.

Design and Implement an OnBase Workflow for Expense Report Approval and Processing.Accomplishments:- Used the OnBase Workflow module to design the required rules and actions that satisfy the clients requirements to successfully enter and approve timesheets.- Developed Lifecycles to manage the receiving of receipts and the matching of receipts to expense reports.- Developed all of the appropriate E-Forms, and User Forms Required for processing.- Designed and developed a SQL database that holds approved timesheet records for import into the payables system.- Developed the export script to populate the SQL database with the approved timesheet records.
