Executive Assistant for QRI's Executive Vice President.Assisting within People OperationsEvent Planning:- Assist with negotiations for space contracts and book event space, arrange food and beverage, order supplies and audiovisual equipment, make travel arrangements, order event signs, and ensure appropriate décor (florals, linens, color schemes, etc.) to meet the quality expectations of our company, guests and clients. - Aggressively gather information on each project to achieve quality event productions. - Conduct research, make site visits, and find resources to help staff make decisions about event possibilities. - Create and revised room layouts for each event. - Propose new ideas to improve the event planning and implementation process. - Serve as liaison with vendors on event-related matters. - Assist with managing on-site production and clean up for events as necessary. - Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc. - Close out all events as required. - Assist with preparing budgets and provide periodic progress reports to staff directors for each event project. - Coordinate appointments and visits to see our space, and scheduling of events on the calendar. - Prepare and modify event contracts as requested.- Creator of QRI's Quantum Culture and Community Outreach Program: Plans and organizes monthly corporate events to build company morale and create a fun and exciting culture (Ex. Manage all travel related plans for all employees from car service to hotel to flights, both international and domestic. Manage and organize client workshops internationally. - Managing budgets and maintaining statistical/financial records related to all travel costs- Overseeing smooth, efficient and cost effective travel options for all employees- Meeting regularly with executive team and project managers to provide financial updates and ways to decrease travel costs- Organizing incentives and bonus awards through use of earned miles allocated to many different projects- Aware of all travel costs and attentive to cost savings and cutting out unnecessary spending- Frequent and proficient use in IBank and TravelTracker- Passport and Visa applications as needed- Quarterly presentations on all travel related costs and encouraged meetings between Executives & Project Managers with the travel agents and account managers
