Conferences Coordinator - only because full time, multi-tasking ninja is not an official job title.I am an highly organised, meticulous and have over 17 years experience in planning, coordinating and delivering complex, successful events. I love a busy and varied workload usually managing multiple events and timelines simultaneously. I have a wide remit within my role which includes delegate management and related administration before and during the event, venue and external supplier relationships and speaker liaison. This results in successful delivery of about 20 conferences per academic year, attracting delegates from England, Wales and Northern Ireland.My workload includes ASCL's highest profile events including the Annual Conference. This is our flagship 2 day event for our members with a tremendous impact in the education sphere and a high media profile. This face to face event recruits at least 1000 delegates annually from all phases of education. The thing that I like best about this particular large-scale event, as well as meeting all the delegates in person, is seeing all the different parts of the event come to fruition after so many months of preparationOverall, I am passionate about my work and will go the extra mile to deliver a successful and memorable event so that the delegate experience is the best that it can be.I am always interested in building my knowledge and skills. I have joined ABPCO to build my network and learn and share with other event professionals and I have also mentored a team member.

I work within the very small Professional Development team and we run over 100 events per academic year which are a mixture of one day training courses, conferences, webinars, long programmes and in-school support. We offer virtual and face to face events, to allow us to reach the widest audience.My specific responsibility is for the coordination and delivery of our full conference programme. This includes the multi day Annual Conferences for England, Wales and Northern Ireland. Delegate numbers at the English event are consistently over 1000 delegates. The Northern Ireland and Wales Conferences recruit between 60-120 delegates and follow a similar format to the English event. The remaining one day conferences number about 20 annually and recruit on average 100 delegates each.I have full and comprehensive responsibility for the administration of the events which includes (but is not limited to);Delegate and attendee bookings and all administration (processing and answering queries, invoicing, workshop bookings).Identification and liaison with event speakers, who are often high profile, including their event briefs and contracts Liaison and negotiation with event venues and all other outside suppliers e.g. AV teams, venue finding agents and accommodation suppliers.Budget management - negotiating, monitoring and approving event expenses.Event and Delegate management on site during the event - acting as the first point of contact for the venue, speakers, exhibitors and the ASCL conference operations team.In late 2022, we revived our one day face to face course programme (after a break for the pandemic) and these 12 events are also included in my workload. The responsibilities are similar but delegate numbers are much smaller.

Business Development Assistant

Working with the former Business Development Manager (until her retirement), I undertook this role whilst simultaneously continuing my current role as Conferences Coordinator. I was responsible for the administration of the Commercial Partnerships for ASCL, which are a group of commercial companies which offer benefits to the members.The main focus of my role was to ensure that the partners received good value for their financial contribution to the Association. This was done by proactively identifying opportunities for the partners to interact with the membership such as through direct marketing and exhibition opportunities at our larger events.Linked to the Business Development role was responsibility for creating and selling sponsorship and exhibition packages for our larger events. The biggest exhibition was for our Annual Conferences. When I started, there were about 60 stands, which increased to over 90. The exhibition sold out every year, with a financial target of c£100k. The additional revenue stream was put towards improving the delegate experience and supporting the financial success of the event.

Working with the Professional Development team, the focus of my role was administration of face to face training events across the academic year, from set up to delivery.Tasks included: Processing delegate bookings, answering incoming queries by email and phone, providing admin support to trainers, some liaison with venues and occasionally attending events in person to deal with delegate management.
