Conferences Coordinator
CurrentI work within the very small Professional Development team and we run over 100 events per academic year which are a mixture of one day training courses, conferences, webinars, long programmes and in-school support. We offer virtual and face to face events, to allow us to reach the widest audience.My specific responsibility is for the coordination and delivery of our full conference programme. This includes the multi day Annual Conferences for England, Wales and Northern Ireland. Delegate numbers at the English event are consistently over 1000 delegates. The Northern Ireland and Wales Conferences recruit between 60-120 delegates and follow a similar format to the English event. The remaining one day conferences number about 20 annually and recruit on average 100 delegates each.I have full and comprehensive responsibility for the administration of the events which includes (but is not limited to);Delegate and attendee bookings and all administration (processing and answering queries, invoicing, workshop bookings).Identification and liaison with event speakers, who are often high profile, including their event briefs and contracts Liaison and negotiation with event venues and all other outside suppliers e.g. AV teams, venue finding agents and accommodation suppliers.Budget management - negotiating, monitoring and approving event expenses.Event and Delegate management on site during the event - acting as the first point of contact for the venue, speakers, exhibitors and the ASCL conference operations team.In late 2022, we revived our one day face to face course programme (after a break for the pandemic) and these 12 events are also included in my workload. The responsibilities are similar but delegate numbers are much smaller.
