Responsible for international and U.S. travel logistics, vendor onboarding and invoice payments, budget reconciliations, materials shipping, and insurance coverage for global event production team. Day-to-day operations included team calendar coordination and meeting invites, timesheet approvals, supply inventory, destination research and local vendor sourcing. Managed team meeting room reservations partnering with audio/visual, catering and facilities management departments to ensure requirements were communicated and fulfilled.

Delivered meeting support services for live events on per-project basis. Duties included speaker presentation development tracking, asset research and licensing, scheduling updates and communication, a/v needs and script management. Logistics coordination including talent and vendor sourcing, budget tracking, team travel support.

As member of the Event and Production team, managed U.S. calendar of internal meetings, associate events, conferences, and incentive travel. Partnered with individual meeting owners to define each event’s business objective, scope and budget. Specific duties included:•Budgets: estimation and reconciliation of third-party contract spend including hotel, dmc, travel management, décor and collateral suppliers. Supported RFP process enabling cost control at every level of project: team delivered overall $1MM reduction of annual Conference spend; including $10K reduction of décor budget.•Timeline development: developed project checklists and contingency plans ensuring deliverables met event due dates and budget; created timelines and alerts to process purchase orders and deposit invoices within contractual deadlines.• Pre-event duties: copyedited attendee registration communications, oversaw copy implementation on third-party website. Collaborated with global creative on design, translation, and production of print materials: convention guides, recognition program booklets, convention signage. Responsible for food and beverage banquet event orders for all conference functions including gala dinners, VIP meet and greets, and staff meals. •Onsite event duties: responsible for function counts and guarantees; advanced room setups/teardowns and materials distributions; trained staff and security on registration desk procedures for check in of 2k invitees.Ongoing: Researched and booked NYC executive meeting space and travel; developed gift and incentive awards in conjunction global sourcing department to meet Avon vendor materials, safety, and factory compliance standards.

Supported Executive Producer of conferences and conventions with coordination of budget and proposal content, video and image research, staff billing and group travel.
