Associate, Event Planner
• Negotiate contracts with vendors to provide maximum budgetary flexibility • Plan events including National Sales Conferences, Due Diligence meetings, client conferences/seminars, roadshows, internal initiatives and client entertainment/sporting events • Collaborate with marketing, sales management and branding/design to develop event strategies, including, agendas, marketing materials, signage and décor in order to leverage current marketing/sales initiatives and deliver the appropriate message of our brand• Act as on-site event lead, doing do by preparing and managing event operations schedule/event staffing documents• Manage event logistics, including hotel room blocks, group travel, airport/train transportation, event space reservations, food and beverage, etc. • Established and enforced standard operating procedures and best practice guidelines to ensure compliance with applicable FINRA guidelines • Build, track and manage event activities/attendees within our Event Management Software, Aprimo; invitation process, web registration, reporting and attendee management• Post event follow-ups, including reconciling invoices, finalizing budgets and preparing event documents/contracts for following year (if annual event)
