• Answering telephone calls, responding to voicemails/emails, prioritize and forward to appropriate individuals• Scheduling of appointments, and meeting logistics using Outlook• Prepare outgoing mail by checking signatures, correct addresses, inclusion of enclosures and distributing copies• Act as a liaison with various individuals at all levels of the organization and external vendors• Hiring of staff and Locums - following HR protocols• Process paperwork and make arrangements for departmental Visiting Professors• Provide necessary support for Departmental managers, when needed• Process yearly credential requirements• Maintain the departmental directory and schedule any necessary training for new staff• Prepare and handle highly sensitive and confidential letters, memos, expense forms, and invoices • Prepare and coordinate materials for presentations (powerpoint slides, agendas, minutes, charts, etc.)• Distribution of departmental and individual monthly report turn around times• Scanning, filing and sorting documents (physical or electronic)• Coordinating travel arrangements (flight, hotel, transportation, registrations, etc.)• Process catering request (internal and external requests)• Reviewing research study process for research ethic board (REB) applications (long/short/renewal) for all necessary signatures, appropriate backup documentation• Approve, maintain and record attendance (sick, vacation, educational leave, etc.) on weekly electronic time card system• Maintain monthly individual Radiologists stats • Request financial disbursements from Foundation into correct Departmental cost centre with supporting documentation• Internal and external library searches• Organizing seminars, and social events
