Sea/Air Freight Import & ExportKey Responsibilities:• Training and Development: Train junior operation officers, providing guidance and support to ensure their effective performance.• Key Account Management: Serve as the key account operator for VIP clients, addressing their specific needs and ensuring high levels of satisfaction.• Customer Service: Efficiently attend to customer inquiries via email or phone, providing prompt and accurate information.• Shipment Management:o Register job shipments into the Sysfreight system upon booking.o Book space with carriers, liners, or co-loaders for export shipments.o Manage necessary documentation for import and export activities, including issuing HBL, MBL, HAWB and MAWB, and applying for insurance certificates.• Documentation and Invoicing:o Prepare and issue invoices for export and import shipments.o Create and confirm transport orders to ensure delivery of shipments to final customers.o Prepare, control, and distribute all required import documents to counterparts (carriers, consignees, suppliers, etc.), check responses, and finalize validation.• Shipment Status and Issue Resolution: Follow up on shipment status in the import area, identify incidents, and ensure timely resolution of issues.• Vendor and Client Relationship Management: Maintain strong relationships with vendors and clients. Provide documentation reports and quotations to customers. Liaise with clients to keep them informed of shipping status.• Internal Collaboration: Collaborate with the Accounting team to resolve discrepancies with operations invoicing matters. Serve as an internal liaison with overseas agents, clients, and other departments.• Administrative Duties: Ensure timely job closings, maintain filing procedures, and perform ad-hoc administrative tasks as required.

Key Responsibilities:Trucking (Import & Export)• Exclusive Shipments Management: Oversee import and export trucking for high-profile clients such as Gucci and Louis Vuitton, ensuring secure and timely delivery.• Order Coordination: Arrange bonded and non-bonded trucking services; apply for necessary permits.• Payment and Documentation: Prepare payment vouchers for customs and issue debit notes to clients.• Customer Communication: Provide regular updates on shipment status and follow up on email bookings.• System Management: Maintain accurate records by updating the Pegasus System.• Team Collaboration: Participate in weekly meetings, review shipment statuses, and support team members as needed.Air Freight Export• Air Freight Export Management: Manage air freight exports for key clients like VS Electronics and HID Global.• Booking and Coordination: Work with the Customer Service team to handle bookings and open job files with Incoterms and cargo details.• Flight and Operational Communication: Coordinate with the air pricing team for flight bookings and liaise with shippers and destination counterparts on operational issues.• Trucking and Documentation: Arrange trucking to KLIA, prepare pick-up instructions, Delivery Orders (DO), and House Air Waybills (HAWB).• Customs and Warehouse Coordination: Facilitate cargo clearance with KLIA customs and ensure proper handling with the warehouse team.• Pre-alerts and Invoicing: Send pre-alerts upon flight departure and issue debit notes to clients.• Issue Resolution: Address and resolve operational issues with the network.

Key Responsibilities:• Data Entry and Documentation: Enter data into the inventory system for incoming materials and post Delivery Orders (DO) to ensure accuracy.• DO Summary Preparation: Create and maintain a DO Summary List with truck details, item descriptions, batch IDs, and quantities for the warehouse team.• Stock Adjustment: Update the Inventory System to reflect accurate stock levels.• Inventory Accuracy: Work with the Warehouse Supervisor to ensure data matches physical stock counts.• Record Management: Maintain orderly and accessible filing of warehouse documents.
