Summary: Responsible for all site requirements, achieved through demonstrating excellent skills in: tenant relations, communication, sales, administration and organization.Responsibilities:- Ensure new tenants are correctly entered in to the SAP system with respect to their proper lease dates, rental payments etc.- Maintain an effective system of rent collection and conduct follow-ups for non-payment of rent.- Update A/R (accounts receivable) report from the SAP system on a weekly basis- Follow legal proceedings for collections when necessary. Involves issuing statements and/or discrepancy letters, issuing proper notices for unpaid rents and when necessary, providing the solicitor with accurate information for court proceedings- Record and notify of returned cheques, take action regarding renewal status (terminations, yearly renewals etc).- Communicating with Operations Manager regarding tenant arrears, complaints, and other site issues- Ensure the Tenancy Agreement and all other documents are correctly prepared and executed- Maintain an accurate amount of suite availability, i.e. issue appropriate correspondence to tenants, and ensure that inspections are carried out on vacant suites. Examine Vacancy Report from SAP system, on a daily basis to keep track of available suites- Market and rent vacant suites to keep occupancy at a rate of 100%- Conduct tenant-relations with intent of achieving high level of tenant satisfaction- Ensure all maintenance requests are adhered to at a timely manner- Manage and assist with all maintenance requirements to maintain site quality and integrity- Carry out other duties as may be assigned from time to timeQualifications:- Outstanding customer relations skills- Computer proficiency (MS Word, Excel, Outlook, SAP system, etc)- Excellent written and verbal skils- Sound organizational skills with the ability to multitask- Flexibility to work varying shifts within hours of operation- Contributes to team atmosphere
