Orders:• Processing, tracking and follow up of orders to ensure smooth, on time delivery• Track stock balances and follow up with clients and third parties to ensure adequate stock availability at all times• Tracking of shipments and deliveries, including liaising with clients, freight forwarders and customersReporting:• Collating sales reports and reporting back to the team around sales rates vs forecasts, out of stocks, other factors affecting sales rates• Reporting of key sales and stock information, and general updates to clients• Recommending forecast adjustments based on sales results and seasonality• Track contract balances• Track and report on relevant competitor information• Track and report on product quality, including following up on non-conformancesProject Coordination:• Creating project timelines• Coordinate projects to launch new product lines on time, with absolute accuracyLiaise with all project stakeholders to facilitate on time completion of all tasks • Communicate project status updates to key stakeholders as required• Provide support in developing new product submissionsTenders:• Extract tender information from portal, summarise and share key information• Request samples and follow up to ensure on time delivery• Collect submission information, enter into portal and execute submission by required date, in consultation with MD and key client contactsAccounts Support & Office Admin:• Enter bills and expenses into Xero• Create invoices for approval• Follow up on payments• Track payments to clients and follow up on overdue invoicesBusiness Process Improvement:• Develop and implement business process improvement initiatives, including:o Creating training documentso Streamlining processes, driving efficiency o Creating/refining reporting templateso Creating/refining order, shipment, commission tracking toolso Optimising use of project management software
