Special Project: Hackathon coordination – 0ctober 2014- presentOrganize planning meetings with our global Hackathons team- setting goals to better track attendance, increase participation, and improve awareness and tools.Strategize with team members to increase resources needed to grow the Hack Program at Facebook.Coordinate development of Hack videos encouraging employees to hack and detailing the life cycle of hack, including- arranging interviews, sourcing videographers, video editors, and developing a storyline.Lead a team of four admins to coordinate logistics for Menlo Park Hackathons and Prototype forums– four times a year. Logistics include- reserving space, arranging furniture rental, ordering swag (posters, t-shirts, and stickers), ordering catering for 150+, distributing swag, coordinating transportation, AV, and security and tracking participation.Executive Assistant Complex and heavy calendar coordination, managing multiple executive calendars.Detailed international and domestic travel planning – researching and booking flights, hotels, andground transportation.Offsite and onsite event planning for group of 150 + employees including sourcing activities,venues, vendors, transportation, AV, catering and on site support. Seating and Space management: facilitate large scale moves of over 300 employees – workingwith fellow assistants, managers, facility leads and movers to ensure smooth transitions.Recruiting and building a strong administrative assistant team to support engineering teams –including interviewing, debriefing, coaching and mentoring new assistants.

Direct and synchronize a complex and heavy calendar, managing complex meetings with executive leadership teams and external customers.Coordinate and manage heavy domestic and international travel schedule including sourcing hotel, ground transportation and flight options.Review all incoming emails and determine priority, responding to urgent issues as required and delegating to others as needed.Draft and distribute e-mails, voicemails, and letter communications to field sales and operations teams.Coordinate and manage monthly senior leadership meetings and conference calls; including preparing agendas, tracking action items, scheduling, and communicating with participants.Travel with COO to meetings and trade shows to synchronize transportation, lodging, and provide on site meeting logistics and support.
