• Organize and maintain three VP calendars from three different locations and multiple time zones• Proactively review calendar for conflicts that might occur in the future and make necessary adjustments• Organizing internal and external meetings including team events, making all necessary arrangements including sending invitations, identifying delegates as needed, booking rooms, ensuring needed equipment is in place and operational, and arranging catering• Coordinate travel for all three VP’s including air, hotel and transfers• Ensuring timely preparation and processing of expense reports and invoices• Ensuring timely processing of weekly payroll and attendance tracking across three leadership teams. • Creation and editing of the organization charts• Maintenance of the departmental distribution lists and location summary• Manage departmental asset inventory management, supplies & services procurement and other administrative support tasks • Manage moves and other real estate needs of the team• Ad hoc project work as directed by leadership
