As a Virtual Assistant for a personal injury law firm, I have been entrusted with a variety of tasks that are crucial for the smooth operation of legal processes and client management. My responsibilities include:Document Retrieval and Management: I am responsible for retrieving documents from medical institutions, insurance companies, and clients. I organize and maintain these records in our CRM system, Meruscase, ensuring that all information is accurate and up-to-date.Client Communication: I handle communication with clients, including delivering messages to Spanish-speaking clients. I also provide updates on case statuses and gather necessary information to avoid delays.Administrative Support: I manage emails, draft legal documents using provided templates, and ensure all communications are professional and timely. I also oversee appointments, making sure that all meetings and appointments are well-organized.Training and Mentorship: I train new assistant case managers, share templates, guide them through various processes, and follow up to ensure their development. I also deliver updates to senior case managers.Process Improvement: I improve Standard Operating Procedures (SOPs) to maintain organization and streamline operations. I share best practices and templates with team members through Outlook and OneDrive, ensuring consistency and efficiency in our workflows.Software Proficiency: I utilize various software tools, including Meruscase for CRM, Xobee for call handling, eFax for faxing documents, Microsoft 365 for internal communication, OneDrive for record keeping, Slack for agency communication, Mighty and Chartswap for document retrieval, and MoveDocs for document retrieval.My role as a Virtual Assistant at the personal injury law firm has developed my organizational, communication, and technical skills, allowing me to provide exceptional support to both clients and the legal team.
