Oversee the preparation of the annual operating budget and annual operating and expense reconciliations Prepare rent statements & tenant billbacks Abstract leases – enter tenant information into MRI/Foresight accounting software Check rent roll for accuracy of square footage and lease information Input contracts, lease dates, billing information, insurance dates, and all other data for generation of monthly reports Compile and maintain complete lease files on all tenants including tenant move-in information and accounting correspondence Coordinate move-in activities, tenant welcome gifts and tenant appreciation events Coordinate tenant service requests with the building engineers and service vendors Prepare work orders, track open work orders and close out when complete Solicit proposals from vendors regarding specific projects; coordinate various projects with vendors and building engineers Contact tenants on delinquent rents Code all invoices and process upon approval; ensure invoices are correct Address all vendor calls or issues regarding payment of invoices; request lien waivers or back-up as needed Review building service contracts; solicit bids as required Update spreadsheets regarding all certificates of insurance for tenants and vendors Maintain updated emergency and tenant contact lists Meet with tenants on a regular basis to ensure that services are meeting their expectations Address and resolve all tenant issues and/or disputes Oversee all tenant improvement and capital improvement projects Schedule vendors for various building projectsSpecialties: Microsoft Office: Word, Excel, PowerPoint, Outlook.
