  My responsibilities include ordering and maintaining all purchasing cards. This includes maintenance, ordering & cancellation of all cards. It also includes changing expense account numbers in our accounting software, balancing the batch and paying the bill. I handle all journal entries/allocations of fuel expenses & purchases each month for all City vehicles. I look at all PAM's for payment and process each for weekly checks to be issued. I enter all contracts/bids into the purchase requisition module and issue all Purchase Orders.I update information for all interlocal agreements the City of Keller utilizes. I also keep track of City contracts with renewals, mail renewal letters and update information in our accounting software.I am responsible for all City wide BID's and RFP's (i.e. janitorial services, coffee supplies & service, etc). I maintain our e-bid system on the City website.I issue all tax exempt certificates, handle petty cash for the Finance Dept. and order office supplies.I assist with the year end audit each year by completing the Purchase Order encumbrance for the next fiscal year, balance retainage payable, escrow accounts, Accounts Payable reconciliation, contractual commitments and prepaid expense items.
