Accounting Manager
This is my first ever managerial position, and it is a notable step up for me. Working with a team of 4 and reporting to the DOF. Being a manager brought new levels of responsibility, but I think I coped well and felt comfortable after a short period. Each month I have overall responsibility for month end close and the preparation/review of monthly balance sheet. Ensuring there is audit quality support provided each month. Since I joined the accounts team back in 2015, month end and the balance sheet was usually done by between 3-6 people. Since taking this role I have had to do that work and more in the same deadline with only 2 people. I prepare monthly reports which are distributed to the hotel owners, and answer any questions that come up. I also prepare and file VAT returns for the hotel when due.I am involved with internal audits which are conducted throughout the year, making action plans based on areas of weakness. These are completed within the deadlines given with a follow up done within 90 days to reassess each failed point.I am the lead contact for statutory audits, providing thorough and detailed backup. Making sure to layout supporting documents in a way that makes it understandable for the auditor, while answering any questions that come about.
Senior Accounts Assistant & It Administrator
During the pandemic I was offered the opportunity to step up and cover the role and responsibilities of the previous IT Manager in combination with my Accounting duties. This was a first for the hotel, being a temporary measure while we were impacted with restrictions that hampered business levels. This was without doubt the most challenging period of my professional career to date. I had very little experience in the area of IT apart from a brief internship in the hotel when I was 18 years old.It was a steep learning curve which continued right up to the day that I finished. I was constantly challenged with problems that I had never encountered before, often times having nobody to turn to. I had no choice but to be quick on my feet and to develop my problem solving skills, realising that plan A didn’t always resolve an issue. Sometimes it went to plan B, C, D etc. Some examples of my responsibilities and achievements included:- Overall responsibility for all IT infrastructure and systems across the property- Attended monthly IT Manager calls for EMEA - Imaged PC’s / laptops and deployed them to staff- Ordered and maintained hotel inventories for hardware- Completed monthly HQ security checklists- Ensured patch compliance for devices connected to the Marriott network- Coordinated a project to bring hotel PMS interfaces back onsite from hosted environment- Worked with third party vendors to resolve problems affecting hosted applications and systems (Opera, Micros and PBX)- Managed network space- Developed knowledge and understanding of network management in a GPNS compliant hotel. Dealing with an environment comprised of a large number of VLAN’s + complex network layout- Helped roll out a switch from locally saved data to the cloud via Teams- Completed training with VMWare on how to manage virtual servers
Senior Accounts Assistant
After the 2019 year, my title was changed to reflect the experience I had gained since I first started working in accounts at the hotel.During that year we went through a complete change in our accounting package (which did not go smoothly), changes in a number of personnel and there was a period where our office was short a senior team member for over 9 months. The combination of the above created a lot of pressure, but I found it rewarding having been allowed to step up with increased responsibility in a number of areas.Where there were new staff, I offered to help to cover tasks and provided advice/training when required.Always eager to learn, I was trained on how to prepare the hotel VAT returns and some parts of payroll.I had further responsibility for balance sheet reconciliations and preparing the appropriate backup. Always meeting the deadlines expected and to the standards required by Marriott Internal Controls.Over each month end close I had to be proactive and forward thinking to ensure the tight deadlines were still adhered to. I had exposure to more journals and reviewed the monthly P&L with the Director of Finance, providing commentary where necessary.I was extremely grateful having been supported by the hotel to study at Accounting Technicians Ireland. I found myself being able to implement the course material during my day to day work.
Accounts Assistant
Accounting Manager (Task Force)
The initial task force assignment was for 3 months, but this was extended to 9 months during a period of significant disruption due to staffing changes in the Finance office. I managed my own time each month so that half was spent in Reykjavik for the Edition, and half in Dublin for the Shelbourne.I was tasked with providing general support and guidance to the Finance team. I highlighted some challenges in Accounts receivable which I helped to resolve, meaning some significant aged balances were recovered.I completed an International Summary Risk Assessment audit (ISRA) for the hotel, which helped highlight some other important weaknesses in internal controls across a wide range of areas. These were raised with senior internal leaders, and action plans were suggested in order to remediate areas of non compliance. In the absence of a Director of Finance, I got an opportunity to work on a number of areas which I otherwise would not. Allowing me to get some really valuable experience.I got heavily involved in monthly forecasting. Liaising with stakeholders across the hotel in order to get their input, having discussions, reviewing trends and variances, in order to be as accurate as possible, and meeting the deadlines for submission. This was a really good learning experience for me, and something I took ownership of each month.I also had responsibility for preparing a monthly critique of the hotel P&L, with further analysis of individual departments. This detail was shared with senior leaders in the hotel each month. Separately I had to respond to Owners queries when they were presented each month, providing clear and appropriate backup where required. When it came time to Capital expenditure (Capex) budgeting, I was able to get involved. Tasked with coordinating discussion with relevant parties in order to plan capex projects which are due over the coming 1-10 years. I found this very interesting since it was a first in my career to date.
Accounts Assistant
During this role I assisted with all areas of the Finance function and provided support to both the management accountants and the group accountant.I reviewed and posted daily income for retail and ticket sales. I ensured daily income sheets were completed by operations in accordance with internal control processes.I tracked till variances and reported them to managers while liaising with operations to resolve any issues/discrepancies. I prepared, posted and invoiced for rebates due on shows. I reconciled both retail and ticket sales on a monthly basis.I prepared and posted jourrnals/accruals each month relating to shows. I also prepared balance sheet accounts each month. I helped prepare analysis for Actual vs Forecast for show revenue and costs.I performed checks across multiple venues to ensure cash floats were properly managed and accounted for.
Accounts Assistant
Like each of my previous positions within the hotel, I began with a blank canvas having absolutely no experience in the area of Finance. This forced me to learn quickly and adapt to a completely new environment.I was first trained in the area of AP where I was part responsible for matching, coding and posting of invoices whilst ensuring corporate and company procedures are adhered to.On a monthly basis I was involved in the reconciliation of creditor accounts and the process of the payment run (BACS). I was fully trained in the day to day duties of AR. I sent invoices to debtors to help ensure they were payed on time. I was also involved in the reconciliation of hotel voucher payments and posting of bank payments.I was able to act as a general cashier when needed. I recorded cash/fx transactions from outlets and prepared daily lodgements. I ensured there was sufficient change on property and provided associates with floats. I reviewed associates floats on a bimonthly basis to spot overages/shortages. I also issued and managed all petty cash requests. I reviewed cash drops vs till reports and investigated variances. I also reconciled credit card payments and voucher sales, ensuring that I investigated any differences that arose.I had been given full responsibility for multiple bank reconciliations, some including FX. I was responsible for setting up suppliers on banking online and had the ability to process bank transfers. Each month I assisted in the reconciliation of balance sheet accounts and provided audit quality support. At month end I prepared and posted month end journals as well as monthly accruals.I enjoyed assisting with internal controls and audits which were conducted on a weekly/monthly and annual basis.I was constantly training across the Finance department to further strengthen my skill set and to give me the capability of covering each role in the event of somebody's absence.
Information Systems Intern
While working in my first position within the Shelbourne I applied for and successfully obtained the position of Information Systems Intern. I was taken on to provide assistance with a number of large system upgrades (SUN/Opera/Simphony).Although I had no experience in system management I was able to adapt quickly. Soon after my start I was able to troubleshoot and repair technical problems relating to computer hardware, peripheral equipment, software and Internet access without assistance.Over a period of a few months I was involved in the largest IT project undertaken by the hotel since its reopening. During this time we became a benchmark hotel after being the largest Marriott within Europe to roll out the Micros-Simphony POS System.I communicated with other IS personnel to resolve non-routine problems with hardware, software, or guest room internet access and carefully built a reputation amongst management for getting things done with a can-do attitude. One of my biggest achievements was being able to cover the Systems Department by myself for over a month. A time which put me under immense pressure and tested my ability in time management and the prioritisation of tasks.I was involved in the conducting of internal control audits and ensured the remediation of areas of non compliance. I also had to plan and manage disk space for the entire network.
Health Club Attendant
Whilst working as Health Club Attendant I was awarded "Associate of the Month" in recognition of my continual hard work and motivation. I was proud to be distinguished amongst the 500+ employees and it helped motivate me even further. Each day I was the first point of contact for all guests and members and ensured a warm and courteous welcome. I offered impeccable service to high demanding clients to guarantee the best possible experience. I provided guided tours to prospective clients and assisted them in signing up for the limited membership on offer at the club. I also offered guests and members help, advice and support in order to maintain a proactive presence.I had day to day responsibility for equipment, cleanliness and hygiene as well as maintaining the balance of water for the pool. Over time, I assisted in the improvement and implementation of new reporting methods to management. I also assisted in the training of colleagues in order to improve their proficiency in programmes such as Microsoft excel and word.
