Office Administrator Specialist
Maintenance Clerk
It is my responsibility as the maintenance clerk, to order parts and services for our workplace to run smoothly. I contact vendors and contractors about getting quotes for materials and then in turn work with our Maintenance department about the actual ordering of parts/services. I also am responsible for receiving in packages and materials once they are delivered to our facility, making sure we receive the materials in within our system for auditing purposes.

As an Administrative Assistant, I do just that, assist others. I have three bosses that I answer to on a daily basis. I help them with any overflow work they may be experiencing when it comes to their specific job. With my position, I am the face of the company. By that I mean I greet contractors and visitors when they arrive at our facility, I answer phones and return voicemails, maintain the copier machine in the front office, and other office work that needs tended to, I am in charge of that. I also assist with budgetary help for our Plant Controller when needed. I have many small jobs that make an overall large difference in helping my supervisors with their day-to-day tasks.
Receptionist
As Receptionist, I answered phones, directed phone calls, took messages, and returned clients' calls, helped screen individuals who stopped in without an appointment or individuals who called with general questions about legal issues. I was also responsible for maintaining office cleanliness during working hours, which included things such as: cleaning conference rooms, cleaning tables, brewing coffee throughout the day, running the dishwasher at the end of the work day, stocking the copier with appropriate paper, taking inventory of supplies and ordering office supplies, and making sure the lawyers were ready for their appointments by giving them their client files. I also was responsible for a process called conforming, which was the process putting together binders for our clients who came in for end of life documents; Last Wills and Testaments, Power of Attorny, Health Care Power of Attorny, Living Wills. Also, putting together LLC documents and folders for clients to maintain their legal documents for their company.
Masters Of Business Program
I was in charge of setting up and breaking down video and computer equipment for each class that was being held that night. Typically, there were two night classes being taught simultaneously from 18:00-21:00. It was my job to arrive by 17:00, set up both sets of equipment for each class, set out snack carts and drink carts for each class, and to open the laptop cages for students to use their laptops for class. Every half hour I would go check the equipment to make sure the program was still running and audio could be heard. The purpose of recording the classes was for students that may have missed class, or that may have missed something while taking notes, they have a reference to go back to once class had concluded. The MBA program was mainly for individuals who had a full-time career and that meant they may of had to travel and miss a class or two. We provided them with records of each class since they were three-hour long classes. At the end of the night, everything would get broken down, food and drink carts put away, laptops locked up, each classroom put back to normal, and arm the security system before leaving the building.
Student Health Services
When I first started at the Student Health Services, I was only responsible for small projects; printing papers for the nurses, administrative staff, and for the front desk. I was also in charge of creating the bulletin board for the main waiting room for our health clinic. My biggest responsibility was transporting students (typically international students) to and from our local hospital for doctor's appointments since most of the did not have cars. I then was promoted to working with the front desk staff and working as an un-official file clerk, by pulling charts for upcoming appointments, pulling charts for appointments for the next day and the day after, all while picking up charts from the doctors' offices once they were finished with them. I was delegated work to scan through our PyraMed program to verify names with ID numbers to help maintain accurate records. At the beginning and end of each school year it was my job to pull charts of students that had or would be graduating and to relocate them to our storage closet, and charts from the closet then needed to be relocated to the basement. During the summer hours when it was less hectic, I was able to dabble in our school's Insurance program and helped input data and field phone calls to help out our Insurance director. I worked this job for the entirety of my time at Bowling Green State University.
