Prepare the initial portion of job postings in state of Texas database - CAPPS, so the Austin Staffing Specialists in HR can officially post them online. Prepare, & obtain, required documents for job postings, new hires, & separations. These are highly confidential & time sensitive & require requesting the information from upper management. Prepare reports, & tracking devices for management to assist in tracking new hires, separations, transfers, position changes, & job postings. Prepare the personnel actions for new hires, separations, transfers, promotions, & raises. Handle confidential information & personnel files. Data entry & tracking of bonuses & raises of 200 staff. Confidently work with & bring important sensitive information to management, as needed. Manage the reception desk, greet customers, mail processing, & answering phones. Reserve conference rooms for staff & manage scheduling conflicts. Set up meetings, & equipment for staff & management. Provide scheduling assistance as needed. Write operating procedures, train & mentor new Administrative staff when needed. Prepare multiple Organizational Charts every month & quarter for the Houston office of 200 plus employees. Coordinates the yearly scheduling & management for the UTMB medical monitoring trailer & staff to stay on location & provide medical monitoring for approximately 180 employees.
