Liaison for medical students and director of medical student education. Verify student evaluations are completed and submitted to the medical school in a timely manner. Maintain files for all medical students.Residency Program: Coordinate grand rounds meetings: create and distribute conference schedule, confirm speakers, order refreshments, secure conference rooms and audio-visual needs, track attendance in electronic system (New Innovations). Coordinate annual recruitment conferences (STFM, FMED, AAFP): ensure all marketing materials, make hotel accommodations, register attendees. Assist residency program coordinator with graduation, recruitment, interviews, etc. Serve as back up for residency program coordinator and administrative coordinator for family medicine faculty. Assist residents as necessary with administrative tasks.Department: Provide administrative support to Program Director and Director of Medical Student Education to include typing, filing, scheduling meetings and interfacing with all levels of hospital personnel and the public. Assist with resident and faculty on-boarding: order business cards, lab coats, Webley paging system. Coordinate day-to-day management of the department: process invoices, purchase orders, mail, order supplies, maintain office equipment.
Administrative Coordinator, Family Medicine
• Provide administrative support to three faculty members: Program Director, Vice Chair of Department, Director or Medical Student Education to include typing, filing, scheduling meetings and interfacing with all levels of hospital personnel and the public.• Responsible for the coordination of all medical students to include confirmation of an agreement with their medical school, schedule their rotation dates, create individual student schedules, conduct orientation and tour of Family Health Center upon their arrival, maintain paper and electronic files on every student and submit student’s final evaluation to their school. Serve as liaison between student and director of medical student education.• Schedule conference room for weekly conferences. Create and produce monthly conference schedule. Record daily conference attendance and enter into electronic system weekly.• Order lunches for various conferences and retreats.• Assist with departmental retreats for approximately 80 people and resident retreats for 30 people.• Maintain community benefits activities for Vice Chair of Department for submission to Corporate annually.• Coordinate with residency program coordinator all efforts of the residency candidate interviews (Oct. through March). Serve as back up for residency program coordinator in her absence.• Assist residents as necessary with administrative tasks.• Coordinate the day-to-day management of the department by processing invoices, purchase orders, mail, phones and visitors. Maintain office equipment and supplies.
