Assist sales staff in departmental functions to ensure all processes are handled in a timely manner.General office duties: Typing, filing, maintain departmental calendar, and general support to the sales staff.Communicates with customers and suppliers.Maintain information in various software programs developed for the coal industry.Preparing short-term and long-term coal bids. Preparing proposal sheets and sales memos for distribution.Producing penalty/premium reports and coordinating with the sales accounting department.Maintaining and updating all sales orders and purchase orders.Prepare, review and finalize sales contracts for management approval.Audits invoices and inventory.Assist in making travel arrangements for sales staff.Coordinate and attend yearly Coal Conference held out of town for top customers.

Coordinate all Development Office Mailings.Write and publish bi-weekly hospital employee newsletter.Design Brochures, flyers and self-mailers for Development Office mailings and special events.Assist with planning of hospital related special events.Produce letters, general correspondence and reports on desktop publishing.Produce monthly Development reports for board members and hospital administration.Compile donor information for the Annual Report.Record and acknowledge all gifts and pledges received.Maintain Development database and communicate with programmer regarding system requirements.Communicate with the public regarding gift information.

Record keeping on all new policies.Enter and update policy information on computer system.Screen and proof applications according to state requirements.Release actual policies to brokers and clients.Communicate with brokers and clients about specific policies.Produce weekly and monthly status reports.
