Executive Assistant To The Sr. Vice President
Current• Support the executive team consisting of executive vice president, vice president, ten directors, HR manager and administrative staff. Managing complex calendars, scheduling high level executive meetings, conference calls and team meetings while working in a fast paced environment. • Plan domestic travel, prepare itineraries, and organize related coordination. Participate in annual business planning meetings, while maintaining the highest level of confidentiality.• Manage budget creation and implementation of residential, regional and national budgets. Track department spending organize and process expense reports. Track and reconcile expense and budget reports against department spending and monthly purchasing credit card expenses. • Prepare contract packages for vendors, track cost and contract information, assist with specification and contract development, track manufacturer agreements, and manage contract database. • Inclusion and Diversity Council lead for the Los Angeles Region. Promote new company Initiatives; Coordinate and facilitate the planning of local and national events. • Philanthropy Lead for the Los Angeles Region; Manage corporate charitable budget of $150k; creating and facilitating fund raising opportunities and volunteer events with our local charities working with the 40+ residential communities for participation. • Coordinate all meeting and event planning, executing planning and creating agendas for luncheons, dinners, associate recognition events and awards, leadership programming, executive retreats. Delivering logistical planning and communication with appropriate company branding.• Manage office with responsibilities that include the overall operations: vendor coordination, purchasing, accounting, invoicing and payments, execution of office functions, office facilitation and onboarding of new associates. Partner with human resources to maintain office policies, as necessary. Coordinate with IT department on all office equipment
