Administrative Duties• Provide friendly, complete customer service at all times.• Assist with any template/document generation that is required from operations • Assist the marketers where required. Operational / FinancialAssist the Facility Manager and:• Ensure accurate filing systems for all facility paperwork (maintenance, regulatory, safety)• Manage Spartan uploads :a.) Enter in and update new wells, analytical, trucking companies, truck drivers.• Ensure truck tickets and work orders are scanned and entered in an accurate and timely manner while maintaining required controls (dual checks.)• Troubleshoot problem tickets.• Ensure daily pricing statements are generated, sent out and filed correctly.• Ensure volume balances are complete.• Complete required producer reporting requirements• With the assistance of the facility manager and lead operators, ensure daily/monthly plant balancing and offsite transfer tracking are complete.• Ensure invoicing cycle is complete (via paper and electronic requirements.)• Ensure facility financial paperwork deadlines/requirements for administrative work is complete• Ensure receivables are followed up on and tracked.• Ensure the payables are coded (either by the administration or managerial staff) and entered into AX. • Ensure accruals are tracked.• Ensure quotes are generated, filed and entered into AX.• Play an active role in progression planning for Facility Administrators.Human Resources Assist the Facility Manager and:• Ensure Payroll is tracked and submitted in an accurate and timely fashion according to set deadlines.• Ensure new employees are orientated and paperwork is submitted to Human Resources in a timely fashion.• Ensure accurate records are kept for attained tickets, courses, manual acknowledgement for all personal on site.• Track vacation time, sick time and boot allowance.
