• Maintain image of company• Answer and directs incoming calls• Greet visitors and answer any questions• Collect and distribute incoming mail and prepare cash receipt postings daily• Post and mail out correspondence of invoices and statements• Filing, scanning, faxing, as well as typing specific documentation• Maintain an updated internal phone list and distribute to employees as needed• Coordinator of office events and activities• Communicate with vendors regarding payments and invoicing questions• Responsible for petty cash disbursements and petty cash expense sheet at month end• Responsible for the admin office day-to-day operations such as distributing and tracking building accesskeys and purchasing office and first-aid supplies.• Main contact for building issues to include other locations as needed: plumbing, lights, heat/air,appliances, alarms, cleaning company issues, etc.• Coordinate with vendors the maintenance of the office including housekeeping, recycling, HVAC, etc.and the office equipment, including copier, fax machine and printers• Distribute and track building access keys• All other special assignments as needed by HR, Accounting & Merchandising departments• HR tasks included benefits, time sheet management, and payroll processing.
