Senior Administrative Specialist
CurrentAn entry level position to enter the City of Austin, requiring highly accurate internal office administration compliant with policy and procedural execution per COA’s guidelines. Work within the Finance division of Austin Energy. Schedule team meetings for teams of finance, accountants, energy analyst, risk control and contract management professionals. Worked with business systems team on Maximo v.7.6 trainings, scheduling and process documentation.Use professional judgment to perform data analysis, problem solve and recommend administrative improvements. Conduct research, compile data, and prepare documents for consideration and presentation. Assembly Austin Energy’s 2020 Budget and presentations for city council approval. Prepare memos, letters and other correspondence using computers, financial systems, spreadsheets, databases, or presentation software. Maintain calendars, attend trainings and events, plan travel itineraries and make travel arrangements. Prepare meeting logistics, prepare meeting agendas, attend meetings, record minutes. Distributes meeting notes and action items.Work closely with HR on the interview process for new hires. Schedule interviews, coordinating applications, questions and assemble panel of interviewers.Coach new employees on City of Austin policies and procedures. Manage office inventory, fiscal approvals, purchase orders while adhering to budgeting restraints. Identify and recommend changes to existing processes to improve accuracy, efficiency and responsiveness of the finance department.
