Organizing email folders— Scheduling & managing appointments, meetings and events, often across multiple time zones— Creating, editing, and formatting documents, presentations, and reports— Acting as a point of contact between the executive and internal/external stakeholders— Arrange all aspects of domestic and international travel, including flights, accommodations, ground transportation, and visas. Anticipate travel requirements, proactively address changes, and provide detailed itineraries.— Maintain strict confidentiality regarding sensitive information, including business strategies, financial data, and personnel matters. Handle confidential documents and conversations with discretion and integrity.— Compliance with internal regulations in accordance with ISO 9001, ISO 27001, VDA ISA and GDPR standards— Ensuring the H&S procedures are up to date— Coordination & execution the activities related to the office managementFINANCIAL:— Cooperation with the accounting department, responsibility for the correct circulation of invoices and payment settlements— Tracking and managing expenses, ensuring timely reimbursement, relocating expenses to specific projects, recording of cost invoices— Cooperation with all the service providers and subcontractors — Being involve in finding new offices. Hadling financial costs that this will involve — Handling purchasing processes for the entire company
