Association Management Agent
CurrentManage and oversee business operations and total site management for the 818-acre Civano Community consisting of 680 locally-built solar-powered homes valued at $350M+. Handle all aspects of the association’s financial management, maintenance of files and records and property inspections for compliance with governing rules, regulations and policies of the Home Owner’s Association (HOA). Serve as a primary liaison between residents and the Board of Directors in resolving issues and providing updates regarding changes in the HOA agreement.Set the timing, scheduling and agenda for all committee meetings (election, design review, finance, etc.) and the board’s monthly meeting and serve as the communication string in disseminating meeting minutes.Prepare contract specifications and bid solicitations for board sign-off related to all community improvement projects and ensure an adequate percentage of the annual budget is kept in reserve to fund approved projects.Interview and select contractors with board approval and manage the contract from issuance through administration during the entire lifecycle of the partnership.Produce and distribute the association’s newsletter along with providing the board with a monthly manager’s report.Maintain the association’s records and store records in accordance with storage criteria to ensure security, preservation and historical reference.Provide on-going upkeep of the tenant database with tenant/renter names, contact information and other pertinent information required by the governing HOA agreement.Sustain scheduled working hours to maintain consistency of service and remain in regular contact to attend to emergent needs of the association.Streamlined delinquent account process to accelerate the multi-tier collection process by involving a professional collection agency once the formal letter of intent to collect has been issued.
