Administrative Assistant - Planning DepartmentAs an Administrative Assistant in the Planning Department, I support the Policy, Planning and Development teams by handling a variety of administrative tasks that ensure the smooth operation of departmental activities. My role focuses on maintaining high standards in document management, proofing and editing, customer service, and meeting coordination.Key Responsibilities:-Proofreading and editing reports, bylaws, policy documents, and correspondence for consistency and accuracy.-Preparing correspondence, presentations, and reports from verbal instructions or rough notes.-Managing document processes for Council meetings, including uploading materials and distributing reports.-Handling FOIP requests by searching, scanning, and compiling records, and preparing formal responses.Providing exceptional customer service by responding to inquiries, performing research, and assisting with data collection.-Coordinating meetings by preparing agendas, taking accurate minutes, and managing schedules.-Assisting with community engagement events and providing support to other departments as needed.-Utilizing software such as CityView, Microsoft Office Suite, and SharePoint to streamline workflows.My background includes strong organizational skills, attention to detail, and a deep understanding of administrative procedures.
