Project Office Coordinator
NCIG reached Mechanical Completion of its third and final stage of construction in June 2013, six months ahead of schedule. The Terminal capacity has now reached its target of 66 Mtpa. I currently work for the Project Manager in charge of this major project as Office Coordinator. In this role, as well as maintaining a high level of safety on site, I am responsible for the following key tasks:• Managing document control, both internally and externally• Registering and processing all paperwork received from the EPCM contractor• Coordinating execution of major contracts, as well as maintaining archives of all original contracts• Provide assistance with monthly reporting• Proof-reading and formatting of documents• Registering and handling of contractor’s bank guarantees• Raising requisitions and coordinating contract cost variations• Coordinating inductions for contractors on siteA major aspect of my role is to complete adhoc duties for the Project, Engineering, Commercial and Commissioning Managers. The Project Office consists of approximately 15 staff and contractors, whom I also complete tasks for as needed. In the past two years, I have been heavily involved in organising Opening Ceremonies of the final two stages of the Project. This included coordinating and executing major functions, both on and off the NCIG site. These functions were attended by NCIG Board members, high-level financiers, industry leaders and Members of Parliament. I was also head of the committee for two very successful Gala Charity Balls, held at Newcastle Town Hall. The second Ball, held in September 2013, raised just over $100,000.00 for the Hunter Breast Cancer Foundation. In my role I liaise with both contractors and NCIG Operations Staff on a day-to-day basis. I am the key contact for the Project Office for both internal and external correspondence. I am also a member of the NCIG Consultation Committee, actively representing the NCIG Project team.
Administration Assistant
In this role I worked for the Verification and Validation department – consisting of approximately 30 staff – where I was responsible for the day-to-day running of the office, including reception duties. Duties included:• Coordinating travel and accommodation• Managing staff timetables/planners • Organising training• Completing timesheets• Maintaining document control and equipment registers • Manage staff Competency Statements - this involved collating information including work evidence, training records and induction paperwork. As the nature of the role included a substantial amount of time on track I also worked on-site assisting with many and varied administrative tasks required by the Commissioning Engineers and Testers in Charge.
Maintenance Planner
This role involved working as part of a large Maintenance Team, coordinating maintenance for a large fleet of underground equipment for the New South Wales and Queensland mining regions. As part of this role I was required to create detailed Planning Reports for my colleagues, raise, receipt & file a high volume of purchase orders, complete Scopes of Work, as well as liaising with management, suppliers and customers on a daily basis. The job was extremely detailed and required a high level of concentration and attention to detail. The Maintenance team maintained many complex filing systems in order to continue the smooth running of the business. In this role, I was required to use many Microsoft Office programs, including Excel, Access and Word. I also used JD Edwards E10 regularly for both maintenance and purchasing. In the last 2 months of my time with BIS I was responsible for sourcing and compiling a ‘Maintenance Coordinators’ Procedure Manual’ which is to be used to give new and existing employees detailed information on how to perform all aspects of the role. This was an incredibly rewarding job, and involved prioritising and managing a very large workload, which has better enhanced my ability to prioritise work and handle stress.
Personal Assistant To Divisional Commercial Manager
Throughout my employment with Patrick (formerly Toll Logistics) I worked in the National Management office of the company, consisting of over 20 business units spanning across Australia. Starting as a Trainee in 2004 I was trained to understand the general day-to-day running of the office, offering assistance to both the finance and administration teams. Throughout my first year I completed a Certificate III in Business Administration. I worked closely with the National Finance & Administration Manager, as well as learning both Accounts Payable and Accounts Receivable systems.During this first year I was also given the permanent role of Travel Coordinator, organising itineraries for up to 30 managers around the country. After completion of my traineeship I became Office Administration Assistant and continued to work with the Finance and Administration team, as well as continuing travel coordination. During this year I completed a Certificate IV in Business Administration. The company employed a new trainee and I had a significant role in training them for the position. In 2006 I was made Personal Assistant to the National Finance and Commercial Manager. In this role I was responsible for working closely with both the finance and commercial teams of the business, as well as dealing with clients in relation to contracts and licenses. I also performed day-to-day personal assistant duties including diary management, travel coordination and expense claims for my manager. In addition, I was involved in the maintenance of the company’s Internet and intranet sites. The office relocated in June 2007 and I had the responsibility of coordinating all aspects of the move. This included liaising with builders, AV/IT technicians, coordinating mail redirection and organising new contracts (ie: cleaning & security) for the new address.
